We are looking for an experienced executive assistant to provide administrative support to the CDO. The individual will interface with internal organizations (Microsoft US and World Wide) as well as external customers and partners. Success in this role requires someone with exceptional organizational acumen, excellent communication skills and the ability to follow-through, use good judgment, set priorities, handle multiple tasks simultaneously and drive project ownership from beginning to end. Candidate must be a strong team player who demonstrates drive and initiative and has a passion for enabling others’ success. This role will have daily contact with senior leadership, so strong business judgment and professional demeanor is a must.
Responsibilities
Key Responsibilities & Requirements (including but not limited to):
- Manage and maintain the CDO’s complex calendar on a daily, monthly, quarterly and annual basis to ensure accurate scheduling and organization.
- Work in partnership with the CDO and the Chief of Staff to make decisions regarding schedule prioritization aligned to the business priorities and customer/partner outcome.
- Manage and coordinate the CDO’s domestic and international business travel, in close collaboration with the Chief of Staff.
- Manage T&E, budget for employee computers and supplies, internal team events and morale in a compliant and timely manner.
- Work closely with the Chief of Staff to implement Rhythm of the Business (ROB) processes to support regular and recurring business reviews, key milestones and other business priorities
- Coordinate CDO meetings, All Hands, events and offsites, including agenda management, meeting logistics, and material preparation.
- Manage and maintain team aliases to support efficient and appropriate internal communication.
- Manage department headcount information and review process including maintaining and publishing organizational chart and contact lists, and processing personnel status changes and employee requisitions leveraging relevant headcount management tools, such as HeadTrax and MSS
- Arrange team morale events and/or broader segment-wide events
- Space management and other ad hoc projects
- Internal and external procurement of goods and services including hardware, supplies, etc.
- Create a fun and teamwork environment across the Admin Community within the CDO organization, as well as participate in hiring, onboarding and guiding any additional vendor administrative assistants
Qualifications
The successful individual will possess the following qualifications:
- Minimum 7+ years of executive level administrative and project management experience supporting a senior executive in a fast-paced environment is required.
- Proficiency in Outlook, Word, Excel, and PowerPoint is required.
- Excellent organizational, analytical, and anticipatory. Ability to make independent decisions and to juggle multiple projects at once with compressed lead time, in addition to dealing with ambiguity.
- Solid ability to manage multiple projects and excellent analytical and problem-solving skills.
- Must be assertive and have a high level of integrity with the ability to maintain the confidentiality of highly sensitive material with tact and professionalism.
- Effective verbal and written communicator with a diverse group of key stakeholders.
- Positive can do attitude, eager and able to work effectively under pressure with time constraints and in relatively ambiguous and complex situations, as well as the ability to adjust direction in response to changing work situations, while maintaining a calm demeanor.
- Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups.
- Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices and tools is required.
- Experience managing administrative professionals, contractors, and vendors strongly preferred.
- Knowledge of internal Microsoft tools such as Headtrax, MS Expense, Travel, Myorder, etc. a plus.
- Previous Microsoft experience preferred not required
