Job Description

We are looking for an experienced Business Administrator to support a globally diverse team of 200+ within the global Real Estate & Security (RE&S) group. This high-profile position will be responsible for providing administrative support to the General Manager of RE&S. Each day, the Executive Business Administrator for the RE&S GM, will work with a variety of diverse people. Given the confidential nature of security work and real estate deals, the ideal candidate must be able to uphold the highest level of integrity, confidentiality and business professionalism. This is a great opportunity for a highly skilled Business Administrator who is motivated by the opportunity to manage a senior leader’s calendar where multiple priorities collide in a dynamic and collaborative team focused work environment. In general, you can expect that roughly 70% of your time will be spent on senior leadership support and 30% on team support. This position has frequent contact with all levels of Microsoft employees and business partners, including executives and their staff.

 

Responsibilities

Responsibilities will include but are not limited to: 

  • Manage conflicting priorities tight deadlines and complex schedules by providing strong administrative support for a General Manager who is in high-demand internally and externally of Microsoft.
  • Coordinating travel arrangements for the GM to ensure efficient and effective use of their time while traveling in collaboration with local Microsoft staff.
  • Coordinating group personnel operations and managing HeadTrax for the entire global team; creating and maintaining team aliases as needed; updating team organizational charts; and completing new hire setups. 
  • Assisting with planning and logistics for client/visitor meetings and events.
  • Coordinating with assistance from the other administrative staff, the annual procurement activities including setting up new vendors, opening annual purchase orders and the approval of some invoices.
  • Coordinating facility operations for the GM’s teams, i.e. administering office maintenance and furniture requests; coordinating space planning and office moves, maintaining team’s inventory in storeroom.
  • Working closely with the Director of Business Operations, assist in the planning and execution of all the leadership team meetings including two to three week-long RE&S Leadership team meetings.
  • Meeting and event activities include scheduling and preparing agendas, assistance with presentation materials, and handling catering and event logistics.
  • Coordinating regular staff meetings including scheduling, agendas, presentation materials and the recording of the meeting minutes.
  • Assisting the Director of Business Operations with management of the G&A budget including the tracking of Headcount, morale, training and other expenses.
  • Manage small initiatives and special projects on an as needed basis.

Qualifications

The ideal candidate will have the following qualifications:

  • A minimum of five years of work experience administratively supporting a senior executive in a fast-paced environment.
  • Able to work effectively in a global environment, with a diversity of people and across cultural boundaries.
  • The ability to successfully work in a team environment and build effective working relationships.
  • The ability to prioritize and work independently and effectively and with an appropriate sense of urgency while adjusting direction in response to quickly changing work priorities.
  • A high level of integrity with an ability to maintain the confidentiality of sensitive material with tact and professionalism.
  • Excellent written and verbal communications skills and strong problem-solving abilities and attention to detail.
  • The ability to effectively implement and monitor moderately complex plans and schedules.
  • A high level of proficiency with Microsoft Office Products including Outlook, Word, Excel, PowerPoint, SharePoint, OneNote and Windows is required. Working experience and a good understanding of MS internal tools (i.e. MyOrder, MS Expense) is also required.
