The Microsoft Advertising Strategic Sales group empowers the largest advertisers around the world to reach their maximum revenue potential through paid search engine marketing (SEM) on the Microsoft Bing platform. We are seeking an experienced Business Administrator to support the delivery of successful administrative, logistical, and operational support for the Regional VP, Central Region and VP of Global Agency Development, as well as their respective teams.
Responsibilities
Support to Regional VP & Head of Agency Development:
- Proactively manage calendar including scheduling with other Microsoft executives, external partners and clients
- Expense report submission and act as interim approver to ensure expense policy compliance across team.
- Travel arrangements and logistics.
- Coordinate and support leadership team meetings, events and all up organizational projects.
- Offsite planning and execution for internal and partner events.
- Ad hoc projects per manager’s needs.
Other: Team Support and Management of Chicago Office
- Support visiting Microsoft Advertising Strategic Sales Senior Management Team with meetings and events in the Chicago office.
- Morale event planning and execution.
- Support of company-wide initiatives for the Chicago office, i.e., Giving Campaign and Diversity & Inclusion initiatives.
- Provide administrative support for onboarding of new employees, equipment procurement, and seating allocation.
- Opex budget management, laptop refreshes, alias maintenance, purchase orders and headcount.
- Maintain compliance with all administrative operations policies and procedures.
- Contribute to the day-to-day running of the Chicago office, including space planning, allocation, and seating moves for Chicago office.
- Back-up to Strategic Business Administrators, when needed.
US & Global Travel and overtime may be required including some nights and weekends/off hours.
Qualifications
Required Qualifications:
- 3+ years of relevant work experience in an administrative capacity
- 3+ years of experience planning meetings and events for large groups
- Experience using Microsoft productivity tools including Outlook, OneNote, PowerPoint, Word, and Excel
Additional Qualifications:
- The successful candidate will have a strong administrative skill set exhibiting high attention to detail, initiative, flexibility, professionalism, creative problem solving and decision making, time management abilities, and effective written and verbal communication skills.
- Demonstrates a positive “can-do” attitude, maintains confidentiality and be an effective team player.
- Ability to work independently while being proactive and changing direction in response to a fluctuating work environment.
- Demonstrates drive and initiative with a track-record of effectively and independently prioritizing work and resources to complete a variety of projects on time; Proven track record managing cost / quality / time balance across multiple end-to-end projects while also carrying a heavy and diverse day-to-day workload.
- Self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-moving operational tempo that runs the gamut from traditional BA calendaring / travel tasks to event planning to customer engagement to facilities
- Experienced with exposure to and appropriate treatment of confidential information
- Team player able to balance core role with ongoing need to back-up other A&O BAs for short periods of time
- 5+ years supporting senior level sales executives and teams preferred
- 5+ years of meeting and event planning for large groups preferred
- Prior experience using Microsoft internal systems and tools including MS Office, SharePoint and OneNote and data analysis skills are a strong plus
- Digital advertising experience preferred
- Bachelor’s degree preferred
