Job Description

Location: London office-based only

 

Position Summary:

The Facilities Administrator is responsible for supporting the EMEA Facilities Manager by providing day to day office management and performing clerical and administrative duties.

 

Your Day-to-Day:

  • Maintain guest registration.
  • Manage shipping logistics, incoming and outgoing post, registered post and couriers.
  • Maintain catering contacts for meetings and training.
  • Monitor, order and stock supplies in the cafeteria.
  • Monitor, order and stock stationery supplies.
  • Perform ad hoc projects, e.g., reservations for team lunches, company events, etc.
  • Prepare Purchase Requests for Facilities services and goods.
  • Invoice approvals.
  • Facilities point of contact for other Bentley offices in the region.
  • Maintain files, excel sheets and databases that track vendor purchases, services, contracts and maintenance as directed.
  • For Bentley acquisitions, assist EMEA Facilities Manager when required with obtaining necessary invoices and contracts and preparing paperwork for address and name changes.
  • In coordination with EMEA Facilities Manager, obtain quotes and approvals for facilities services. Oversee scheduling of work for such services.
  • As directed by the EMEA Facilities Manager, monitor Office Works orders and invoices.

 

What You Bring to The Team:

  • 2-3 years’ experience in office administration and customer service required.
  • Fluent English communications skills.
  • Computer skills and the ability to learn new applications independently.
  • Proficient in MS Word, Outlook, and Excel.
  • Detail oriented, organized, analytical, honest and dependable.
  • Ability to do research, organize information, report findings, and make recommendations.
  • Ability to work well with outside vendors, internal customers, and corporate facilities team.
  • Basic knowledge of logistics.
  • Ability to set measurable goals and meet deadlines.
  • Flexible taking on new tasks or projects.
  • Ability to work independently, with minimal follow-up, and provide your Manager with progress reports. 
  • Take full responsibility for successful completion of tasks, with minimal follow up.
  • Someone who likes to be challenged.
