MAJOR RESPONSIBILITIES

  • Client/Stakeholder Management

  • Deliver excellent customer service to meet on-site client’s expectations

  • Build and develop effective relationships with key stakeholders &/or client and be comfortable working across all levels

  • Monitor procedures to ensure client’s expectations are conveyed and worked upon

  • Engineering Management

  • Establish Engineering & Operational procedures and roll out the same for site staff;

  • Establish contacts with local authorities on the facility related issues and maintain the relationship. Responsible for all legal & authorities related compliances pertaining to facility & engineering systems;

  • Plan and manage the budgets for Engineering & Operational contracts;

  • Carry out Technical Audits for all installations at periodical intervals;

  • Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations;

  • Plan & take responsibility for smooth operations of all Mechanical, Electrical, Plumbing installations and civil works pertaining to the facility;

  • Responsible for planning a critical spares list for all installations as per manufacturer’s recommendations and inventory;

  • Responsible for development of all maintenance related schedules and shutdowns in consultation with Clients / OEMs;

  • Periodically inspect the logbooks, checklists and PPM schedules for a better management of Engineering systems;

  • Work towards the ‘ZERO’ down time and set up the practices to ensure the delivery of seamless service to Clients;

  • Responsible for ensuring landlord’s compliance on availability of all statutory obligations such as Fire, Lift, and stability certificate;

  • Responsible for setting up the maintenance contracts to ensure the risk mitigation to the Client operations;

  • Implement the Energy management programs to reduce the cost on utilities;

  • Handle small renovation projects from initiation to completion.

  • Develop and implement innovation programs and processes that reduce utility costs, increase productivity and savings and share learnings with the wider EOS community at Jones Lang LaSalle

  • Reporting: Responsible for weekly & monthly reports on M&E, covering the maintenance contracts, spare parts consumption, Incident reports, Improvement projects etc;

  • Energy management, saving opportunities, risk management & engineering systems audits.

  • Risk Management

  • Ensure alignment and compliance to established Policies and Standard Operating Procedures for the management of the client’s Critical Environment (CEM)

  • Ensure proper engineering documentation and adherence to the established change management controls for all sites

  • Protect the health and safety of staff and others by adhering to and developing guidelines and strategies

  • Conduct audits to ensure that all safety procedures, including disaster recovery and business continuity plan and escalation procedures are in place and maintained

  • Ensure compliance with statutory regulations on fire, health and safety standards

  • Ensure compliance with JLL programs and audit programs and participate in EOS community initiatives

  • Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies

  • 24/7 emergency call support and site attendance is required

  • Client User Ticket System (GUTS)

  • Manage Client GUTS requests which will be the focal point for day-to-day operational activities

  • Log and monitor all service requests in GUTS, ensuring that each request is routed to the correct team member/vendor who is responsible for performing the request and such vendor is fully aware of the requirements and timescales detailed in the Client contract.

  • Track each request to ensure it is closed correctly and in accordance with the required timescales detailed in the Client Contract.

  • Administer any changes in the GUTS portal

  • Ensure GUTS KPI is met

  • Project Organization and Communication

  • Help oversee the communication plans for projects that are tailored to the specific changes and business units.

  • Ensure that regular communications on minor moves and changes are conducted.

  • Ensure that the REWS and JLL Facility Managers are adequately briefed on projects and progress.

  • Alert the REWS and JLL Facility Managers to potential problems and their resolution/mitigation.

  • Deliver all projects directly under your control to program, budget and standards

  • Project Coordination and Reporting

  • Collaborate with other Real Estate and Workplace Services (REWS) functions to ensure the delivery of major/minor capital works projects and associated moves and changes (both strategically and tactically).

  • Based on the scale and complexity of the project, as well as the capacity of the team, engage and coordinate with 3rd party service providers to ensure delivery of the work.

  • Set out the correct structures to control and monitor the initiation, design, progress and delivery of projects.

  • Work with the Projects team to assist with the delivery of major projects.

  • Pro-actively manage the delivery of services to prescribed Service Level Agreements via effective monitoring and use Management Information Systems/reports.

  • Represent Client FM in project-related meetings (as required)

  • Assist in reviewing services documentation and drawings to ensure they are accurate and to FM standards

  • Assist in First Day of Business (FDOB) for new sites by coordinating with local FM to ensure site is ready and Clienty

  • Obtain and review O&M manuals post project (as required)

  • Manage defects with PM team by ensuring all are documented and closed off in a timely manner

  • Assist the Projects team through construction projects, ensuring there is minimal disruption to the business due to space changes.

  • Health & Safety Management

  • Implement and manage safety procedures to ensure the provision of a safe working environment at all times.

Ensure compliance with statutory regulations on fire, health and safety standards (as required).


Ideal Experience

  • Min. 3 years of experience in facilities, property management, or a related technical field

  • Excellent technical experience in building engineering or equivalent preferred (background in engineering, AC, fire protection, BMS, mechanical systems, electrical systems and equipment knowledge)

  • Experience of working in IT/technology environment

  • Experience of working on a major property projects, moves, adds or changes

  • Knowledge of local health and occupational safety requirements

  • Knowledge of critical facilities

  • Knowledge of vendor management for specialized services

  • Skill of negotiating with vendor in commercial and technical aspects.
