Job Description

The responsibilities of this role include management of technical, Soft services and security team, coordination and prioritization of a wide range of projects and processes within the site, and communication of issues with various teams at the site.

  • APAC office general management: act as the key point of contact for all Facilities team member in APAC to support the day-to-day operations in APAC to ensure delivery of all facilities management services to provide the best possible working environment for our employees in line with regional and global standards
  • Gain a full understanding of contractual obligations for the delivery of all service
  • Ensure all the offices are compliant with Health & Safety legislation
  • Provide training and refresher training to all the APAC Team
  • Monitoring Facility expenses and budgeting
  • Coordinate corporate activities, such as monthly team briefing, all-hands meeting, global activities, foreign students company visiting, etc.
  • Company car & parking spaces management
  • New hires logistics arrangement: work desk allocation, access card, keys for lockers; provide new hire orientation, including office tour and company induction
  • Work with office building management for local activities, such as annual fire drill, office cleaning arrangement and the Ghost Festival ceremony
  • Act as local finance function contact: work with the accounting service provider to support local financial needs (Withholding Tax process, financial auditing admin support); employee expense inquiries; act as global finance team’s local contact for vendor management/local document translation/bank information verification
  • Company chops management

  • Act as one member of Employee Welfare Committee, support admin work of EWC and work with EWC members to coordinate company activities, such as outing, family day, fitness days and year-end party
  • Global projects follow-up and compliance, including Sustainability, waste management, office branding/layout updating
  • Site promotion and employee engagement materials generate, such as internal communication story editing, Yammer page maintenance
  • Internal app maintenance: Envoy, Mapwize, and SharePoint sites
  • Support other teams with various administrative tasks
  • Support the site head of Taipei
  • Adapt at managing administrative activities involving the purchase of equipment, maintenance of procurement, housekeeping, safety, security, employee induction etc.
  • Supervising multi-disciplinary teams of staff including cleaning, maintenance, grounds and security
  • Managing repair, maintenance & replacement of office types of equipment, appliances, etc.
  • Vendor management- Oversee acquisition, installation and commissioning of types of equipment that are required for the facility – IT Systems, air conditioning
  • Processes, Documentation, Business Control checks, audits etc.
  • Monitor all Statutory Compliance areas
  • Ensuring that basic facilities, such as water and heating, are well-maintained
  • Coordinate with the Facilities Manager to provide support where needed
  • Ensuring that facilities meet government regulations and environmental, health and security standards
  • Drafting reports and making written recommendations
  • Advising businesses on increasing energy efficiency and cost-effectiveness
  • Work with members across the organization to prioritize SME support
  • Support and oversee various sized and multi-phased projects
  • Coordinate the support of projects: meet deadlines, assign resources, monitor and summarize progress of multiple projects simultaneously, identify risks to facility or task completion to the Facilities Manager
  • Work directly with the Facilities Manager to assist in procuring owner-supplied equipment and services directly with the Procurement team
