About the role:

The purpose of the Service Part Administration job family is to ensure the availability of requested Service Parts to match Planned Service Events. This family is analytical and strategic in nature, and works collaboratively with the wider organization to ensure we provide exceptional service to our customers. Coordinates Service part delivery to the field, returns from the field effectively, liaise with Service part suppliers, and work order planners.

Key Responsibilities for Service Parts Administrator:

Forward Logistics

  • Parts Escalations & Back Order Management through ASAP Tool

  • Notification of parts ETA to Planners and FSEs

  • Next Flight Out & Same Day delivery Coordination

  • After hours Activations and delivery Coordination

  • Last mile Delivery Coordination

  • Critical Parts Order Redirections & Hold for Collection airports to expedite delivery lead time

  • Monitoring open orders & exception handling

  • Communication of parts ETA to Planners and FSEs

  • Dangerous Goods Parts/Cross dock – International and local

  • DRP/Manual order Processing – system outage

  • Monitor blocked orders in SAP and release on advice

  • FSE support for Servicemax reporting on parts – Analyse issue & provide solution

  • Process Medbench (Repair) orders virtual transactions for New Zealand

  • Lodge IT/snow tickets for ServiceMax/SAP issues

  • Master data requests for droppoints

  • UAT for Servicemax deployment

  • Manage activities throughout the order fulfilment and transportation cycle to make sure established deadlines are met

  • Work closely with 3PL providers to ensure parts availability and delivery on time to meet customer expectations

  • Proforma invoice creation for parts shipping overseas , Cook Islands , PNG

  • Monitor, investigate & resolve issues related to GIT from suppliers

  • Resolve GATP issues

  • Servicemax error monitoring & resolution – multiple reports

Reverse Logistics

  • Consignment reporting and analysis

  • Material only order consumption in Servicemax

  • Corrections of FSE postings in Servicemax

  • Control consignment / engineer return process

  • Attend to easy connect tickets from Engineers for parts return

  • Organizing Returns Collections (HW , on site collections)

  • Monitor, investigate & resolve issues related to GIT from FSE & from Blueroom to SPS

  • Resolve issues with non-conforming parts when 3PL unable to process PRR Tool

  • Return shipments to SPS (Defectives, DEFOA/DOAs and Rebalancing)

  • Create cases in CDR Tool for DEFOA

  • Material Only recovery rates

Inventory Management

  • Maintain accuracy of ERP (SAP).On time processing of transactions

  • Participate in stock takes, reconcile and finalize adjustments

  • Follow up ship-hold or market holds to ensure 3PL providers have completed segregations or required confirmations

  • Communicate to 3PL on status changes and adjustments

  • Stock Adjustment transactions in SAP MP1

  • Local Distribution Center (LDC) operations support

  • Damaged & Expired stock management - Salvage or scrap

  • Daily Stock Reconciliation – Resolve issues related to failed IDOCS & investigate discrepancies

  • Create, maintain and document internal processes/controls. Yearly review and update of 3PL SOP

Projects / Continuous Improvements

  • Participate and be stream lead on business projects as required

  • Create opportunities and be a part of improvement projects to improve processes & reduce logistics cost

SC Reporting

  • Prepare as required reports for Logistics costs, Logistics dashboard, supplier non – conformance & reconcile supplier invoices vs approved rates

  • Qlikview Reports on performance – Manage to expected performance standard- WO Awaiting Parts , Incomplete Cases , Consignment Stock

  • Servicemax – support ongoing issue resolution until long term fixes deployed

Requirements:

  • Bachelor’s Degree in Customs Administration, Industrial Engineering or the equivalent

  • Minimum 3 years’ experience in Logistics (Import, Export or Freight Forwarding)

  • Experience in Service Max preferred + SAP

  • High Level Knowledge in Excel and other Microsoft Products

  • Problem Solving Capabilities and high attention to Detail

  • Service Max Resolution Experience

  • Supporting Engineers on site

  • After hours Activations and Deliver Coordination and Last Mile Delivery Coordination Experience
