Job Description

Objectives

Provide high level secretarial and administrative support for General Management Office, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of company's operations, procedures, and people. Facilitate smooth communications between GMO and other managers and employees; and between GMO and external parties such as media, customers, and the public.

Main responsibilities

  • Manage the GMs' appointments and schedules and make travel arrangements to make best use of their time.

  • Gather, compile, verify and analyze information for the GMs to use in the documents such as memos, letters, reports, speeches, presentations, and news releases.

  • Efficient administration of daily work in GMO, e.g. GMs' signature management, company chop management, GMO office admin., visitor reception, written/verbal translation, etc.

  • Understand and comply to all policies, regulations and guidelines of SSLS. Handle confidential information and maintain the security of the GMs' records and files.

  • Provide professional support to BoD meeting.

  • Plan, organize and schedule own workload so that the following activities are completed accurately and on time.

    • preparing company level circular / announcement;
    • preparing documents and presentation materials;
    • screening and responding to incoming correspondence, inquires, and phone calls;
    • drafting letters and official information releases;
    • arranging and attending meetings;
    • taking and distributing minutes; etc.
  • Facilitate smooth communications between GMO and all internal / external parties. Support GMO in internal communication (e.g. company town-hall meeting, company letter box, company newsletter, company intranet and etc.)

  • Coordination of important company projects / events

Main requirements

3+ years professional experiences in administration management.

  • Working experiences in multination company is must.

  • Working experiences in project execution is preferred.

  • Bachelor degree or above

  • Fluent English (Excellent Speaking & Writing skills)

  • Familiar with MS Office Applications (PowerPoint, Excel, Word, Outlook, etc.)

  • General understanding of Siemens Products and Markets, knowledge of MS products will be value added

  • Time management

  • Team player, good communication and interpersonal skills
