Job Description

Objective:
Directly reporting to the Hub head. Develop and improve planning and reporting for HRS/GS Hub Asia department. Responsible for process management, compliant operation, execution of ICS controls, communication measures and PMO for department projects.

Task:
● Planning /Controlling/Reporting
- Support the head of HRS/GS Hub Asia for OP planning for team cost center, including HC planning and other costs. Review the cost situation in EA I and EA II, adjust/ apply new budget if necessary. Ensure reliable and timely cost center planning and controlling. Provide transparency on budget situation. Collaborate with DGRC and DAG controllers during the OP cycles. Report regularly to the head of Hub Asia and develop recommendations.
- Prepare regular reports on operational business and further develop KPIs and a steering model for Asia operational activities based on data analysis (e.g. assignee population forecast)
● Compliance & Controls
- Steer all activities for HRS/GS Hub Asia ICS cycles. Ensure all compliant process design and effective sample checks. Ensure all Hub Asia employees are informed and trained on compliance related requirements. Collaborate with DGRC / HRC / HRS/GS counterparts and ensure timely performance of related tasks.
● Processes & Quality management
- Set up regular communication exchange with CoC team, update policy/working manual and implement to HRS/GS team, ensure all HRS/GS Hub Asia processes have process description in place, and ensure each sub team having up-to –date checklist for all processes. Support the development of a KPI ensure the qualities of each process control.
● Communication
- Coordinate all communication measures for Hub Asia (set standards for COM in line with HRS/GS global process, standardized templates, internal review/editing process, critical ad hoc communication).
- Develop process for communication and ensure all staff is informed and follows.
- Support all subteams with creating communication measures (language, layout, documentation).
- Develop and maintain standard materials and communication channels (Social Intranet, HiExpat App). Overall responsibility for the HiExpat App worldwide.
- Identify deficiencies (e.g. based on assignee and management feedback, critical situations, emergencies etc.)
● PMO
- Ensure transparency and alignment across all subteams regarding ongoing and planned projects. Support subteams on project setup and provide guidance in regarding methods, communication approach and ensure progress tracking. Be responsible for own projects.
- Act as an internal sparring partner for project teams. Ensure tracking of project progress and budget.
