A new and exciting Global Meetings and Events (GME) team was launched within the Global Business Services (GBS) organization. This team is responsible for implementing and executing a global Strategic Meetings Management Program (SMMP) across Commercial, Enabling Units as well as Medical and R&D.

The GME Process Solutions Manager, reporting into the GME Solutions Manager, requires a candidate with global (multi-language and culture) teams who demonstrates strong communication skills who is forward thinking and expected to add to the discussion and challenge current process. They will be a vital link between the Operations Team and the Service Team, logging key topics and issues as they arise, triaging, driving to resolution and communicating the outcomes back to the relevant teams.  They will have line of sight of the ‘back of house’ Cvent development activities as well as the stakeholder-facing Service Team to understand current priorities and triage requirements as necessary. The role requires being an expert in Cvent technology, having strong communication and process development and project management and organization skills.

Main Duties and Responsibilities

  • Support the Solutions Manager, GME Operations Director and Regional service Teams to identify, implement, and lead solutions management focusing on user performance across process opportunities  
  • Be the User Subject Matter Expert for GME technology (Cvent being the anchor), and supporting processes including understanding knowledge gaps, conducting demonstrations, documenting processes and ensuring users are familiar with how to work within Cvent and follow AZ Processes
  • Support the Cvent roadmap ensuring user success as updates and new features/functionality are rolled out
  • Support new as well as existing solutions and approaches leveraging knowledge of Cvent, best practices for user engagement and knowledge expansion that support the evolution of the service both in terms of growth and also areas of opportunity
  • Formulate and optimize solution management framework specific to user engagement, data accuracy and user application knowledge
  • Expedite task delivery, ensure cross-functional accountability, streamline documentation and communication to all impacted functions
  • Ability to communicate and collaborate effectively across all levels of organizations, both internal and external while working independently to drive results
  • Be an active member of the broader global GME team (working in and with over 25 countries/languages), including external agencies that support AstraZeneca and other groups within AZ that utilize Cvent, to provide best practices and knowledge sharing
  • Ensure that current GME processes remain ‘fit for purpose’ by running detailed evaluation of user understanding and adoption of new and existing services and make recommendations as needed to GME Leadership to achieve goals
  • Keep up to date with industry, competitor, methodologies and new trends
  • Conduct training and demonstration calls for broad range of internal AZ and external agency partner audiences across the globe with attendees representing varying geographies, languages and cultures, during local business hours

Essential qualifications, skills and experience

The ideal candidate will have strong project management, negotiation and interpersonal skills, and be able to work with little supervision.  Must be highly organized, flexible, thrive in a fast-paced Global team, highly-regulated environment and handle multiple tasks with tight deadlines.  Should understand the business objectives, corporate culture and be able to keep up with evolving priorities. Will contribute to broader organization programs and company goals.

  • High proficiency/expert of working within the Cvent Event Management system
  • Experience documenting processes, producing documentation to support user understanding of systems and processes, conducting live demonstrations of software and ability to respond well to user questions in a live environment
  • Experience working within a Global team, including written and verbal communication with audiences where English is not the primary language, leveraging best practices of cross cultural communication
  • 3 plus years’ experience in a customer focused environment (can be internal customers or external) where influencing others and the ability to empathize while remaining focused on a goal was a key to success
  • Demonstrated strategic and operational proficiency including the ability to make decisions and thrive in an ambiguous environment while leveraging critical thinking, good judgement and an eye for simplicity
  • Have a user focused mindset that looks for improvements and simplification in order to drive adoption and ease of use while meeting the goals and purpose of GME
  • Self-starter with proven ability to proactively identify and solve problems independently
  • Strong communications and negotiation skills; ability to lead to desired outcomes
  • Bachelor’s Degree
  • Proficiency in MS Office tools (Word, PowerPoint and Excel)
  • Excellent English skills (written and speaking)

Your desirable qualifications, skills and experience

  • Meeting planning experience, Pharmaceutical or Life Sciences a plus
  • Extensive experience in Project Management and/or Operations experience
