Position Title: HR Business Administrator

In this role, the candidate is responsible for the main administrative duties including maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases. Ultimately, should be able to ensure the HR department supports employees while conforming to labour laws

RESPONSIBILITIES:

•HR administration and system management, maintaining employee data on relevant systems

• Managing the onboarding process for new joiners, including communicating with joiners, arranging equipment.

• Responsibility for the full employee life cycle of administration (contract through to exit e.g. references, change letters).

• Managing physical filing system for employee and HR/Payroll related documents (e-files).

• Create and maintain personnel files in the correct format

• Administer leave.

• Participate in HR meetings and such other meetings as may be necessary.

• Draw contracts for African Contractors

• Vendor application, PO process for African Contractors & ensuring payments are made on time

• Vendor application, PO process for HR suppliers & ensuring payments are made on time

• Administer payment for all HR suppliers

• Human Resource administration and maintenance of records and systems as required

• Respond to requests and inquiries from employees.

• Organizing interviews and liaising with hiring managers including assisting with lower-level job interviews

• Booking flights, accommodation for candidates outside SA for induction

• Monitor Concur for the HR team

• Management of all employee benefits education sessions for provident fund, general training and adhoc projects

• Maintain confidentiality at work

• Ad hoc projects including assisting the HRD with audit information gathering and tracking thereof

• Responsible for implementing and maintaining the effectiveness of the Quality System

QUALIFICATIONS:

Bachelor’s degree OR National Diploma in Human Resources or Related is essential

EXPERIENCE AND COMPETENCIES:

  • 3-5 years experience as an HR Administrator ideally within a multinational company.
  • Must have 3 years of employment contracts experience.
  • If the candidate has experience with hiring candidates outside of South Africa- this would be advantageous.
  •  Must have experience with South African labor law.
  • Strong attention to detail.
  • Good experience in working in a highly confidential environment
  • 2-3 years working on word and excel skills i.e intermediate skills on Microsoft packages.
