Job Description

Administration
? Ensures efficient office administration procedures.
? Ensures that all personnel records are maintained filed and updated in the HR System.
? Ensures Human Resources documents are properly routed with strict accuracy and confidentiality.
? Compiles and maintains personnel records by performing the following duties.
? Records accurate employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, and termination date and reason in the HR System.
? Maintains and updates manual and computerised filing system.
? Locker Management
? Prepares monthly personnel promotion poster

Compensation & Benefits

? Responsible for medical check-up and certificate and ensure all certificates are valid
? Responsible for team member activities photograph/video shooting/editing and poster making
? Prepares certificate for team members as required
? Issues uniform issuance forms
? Photographing for new team members and ID photo upload to HR-Link
? Prepares people movement letters including confirmation, salary adjustment, promotion, transfer, etc.
? Distribute people movement letters to HODs and ensure updates of JDs if any.
? Prepares and renews contracts for all full time team member, part time workers and casual workers.
? Updates Locker arrangement record and controls Locker key
? Proceeds the retiring procedure for national team member (where applicable)
? Maintenance of Turnover list
? Checks all Department’s leave request form
? Management of HR leave application and records
? Arranges HR office Duty roster in HR link system and explains errors
? Prepares renewal contract for trainees, FT and retires and follow up with the contract signing
? Check employment guarantee fund for the disabled team members
? Application of social insurance allowance for disabled team members
? Prepares all on boarding documentations for New Hire Team Members
? Does check in for all new team members
? Prepares New Hire Team Members P-File
? Inputs New Hired Team Members information into the system
? Checks all split/night shift record to ensure the shift allowances are appropriately disturbed.
? Checks all night shift taxi expense based on actual attendance records to ensure it is appropriately used.
? Prepare pulse check name list/form and PAF to HD and follow up with the implementation.
? Enrols and cancels social insurance and ensure the accuracy of monthly social insurance reports
? Assists in annual social insurance adjustments
? Checks all monthly attendance records
? Prepares Resignation Certificate & Labour Handbook to local team members
? Assists in checking of public holiday overtime
? Handles with the retiring process
? Handles hiring and separation registration for Locals and non-Shanghai residences
? Assists in Medical examination for new expatriate team members
? Handles with Shanghai Hukou settlement for team members who have overseas studying experience.
? Medical insurance transfer for non-shanghai residence team members
? Management of lockers for Part time.
? Handles with employers liability insurance
? Others tasked assigned by supervisors.
? Complies with hotel’s Policies & Procedures.

Other Duties
? Attends and contributes to all Meetings as required.
? Provides courteous and professional service at all times.
? Assists with the coordination of the employee recognition programmes.
? Assists by checking to ensure all employee facilities are maintained within standards, ie. Employee Lockers, Employee Restaurant, Employee Dormitory and Employees’ smoking area.
? Willingly attends hotel training sessions as scheduled to improve skills and knowledge.
? Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst providing feedback for a prompt follow up.
? Is knowledgeable in statutory legislation in employee and industrial relations, understanding and strictly adhering to Rules & Regulations established in the Employee Handbook and the Hotel’s policies concerning fire, hygiene and health & safety.
? Ensures high standards of personal presentation & grooming.
? Assists and participates in all Human Resources activities.
? Ensures and practices the utmost protection of office’s confidentiality.
? Responds to requests to undertake any reasonable tasks and secondary duties and to changes as dictated by the Hotel, industry and company.
