The IT Data and Analytics (DA) team is looking for an Executive Assistant (EA) who will support and partner with the Vice President and General Manager of the IT Data and Analytics organization, Director and Chief of Staff.
Responsibilities include, but will not be limited to:
- Organizing and managing extremely complex calendar schedules for the General Manager, maintaining the executive's agenda and assisting in planning appointments, customer meetings, conferences, etc.
- Organize complex meetings with other senior executives working alongside other Executive Assistants.
- Make extensive travel arrangements and prepares expense reports.
- Provide support organizing and planning all logistics for departmental events, quarterly events and recognition, as well as coordinating activities across the organization such as: events, conferences, face to face, etc.
- Exercise diplomacy, tact, teamwork and judgment in interacting with a wide range of constituents at varying levels of an organization including staff at all levels, administration staff ; customers.
- Maintain in-depth experience of office management procedures and departmental and legal policies.
- Take the initiative to manage logistics of the department/division such as: maintaining divisional organizational charts, phone distribution lists and divisional logistics needs.
- Managing tactical projects, general administrative duties such as order supplies, conference room coordination, generating shipping memo, etc.
- Expert in handling and maintaining confidentiality using discretion and sound judgment.
- Coordinate activities to ensure division goals are met, effectively mentoring, and integrating new admins and ensuring all admins learn department procedures and expectations.
- Work closely with the Senior and Executive administrative staff and works productively as a team member.
In addition, the ideal candidate should also exhibit the following behavioral traits:

- Effective organizational skills to improve the efficiency of administrative processes.
- Customer service orientation and skills to use judgment/discretion when handling confidential information.
Qualifications
Minimum qualifications are required to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.
Minimum Qualifications:
5+ years of experience in the following:
- As an executive assistant or related role.
- Microsoft 365 and all Microsoft tools (Outlook, Word, Excel, PowerPoint, MS Teams, etc.)
- Executive calendar management including coordinating complex meetings that require corporate level attendance (Chief Executive Officer, Chief Financial Officer, etc.), external attendees, and video conference room booking, etc.
- Travel itineraries, visa application, expense reporting.
- High School diploma.
Preferred Qualifications:
- Bachelor's degree or higher in any field of study.
- Experience with Administrative Tools such as: Concur and Workday.
- Experience with Yammer or SharePoint.

This role will be eligible for our hybrid work model which allows employees to split their time between working on-site at their assigned Intel site and off-site.
