Job Purpose

 

The Shared Services Hub Lead will be responsible for leading the operations of the Shared Service Centre (SSC) located in the Asia-Pacific (APAC) region. You will manage the day-to-day operations of SSC hubs for finance processes. The finance processes in-scope for the SSC hubs include elements of Record to Report (R2R), Procure to Pay (P2P) and Order to Cash (O2C). This will entail delivering efficient, high-quality service compliant with all relevant legislation and company procedures. Potentially you might be requested to disciplinary manage Global acting SSC teams in your location with dotted line reporting to other SSC Managers.

 

You will be responsible for the core accounting processes including, period close and consolidation and ensure SSC inputs feed accurately and timely into the company’s group function. You will need to be at hand to advise and support on complex business/technical escalations and issues.

An essential part of this role will require you to have the ability to manage multiple resources (internal & external), coordinate efforts across team, and ensure high performance, motivation, and development within the team.

 

You will report to the Head of Global Finance Shared Services, supporting with decisions around budget, resources, and investments, and work closely with the respective Global Process Owners and other cross-functional SSC teams to ensure optimal delivery of the processes and drive a culture of continuous improvement in the shared services.

 

Key Responsibilities

 

§ Provide leadership to SSC Hub team members

o Coordinate the end-to-end delivery of SSC hub operations, delivering services regionally

o Be accountable for the direct reports executing finance activities across in-scope processes including, but not limited to, general ledger accounting, accounts payables, payments, accounts receivables, collections, and billing

o Provide support and oversight to Master Data team reporting into Master Data Lead in other hub/location

o Oversee team’s required training to ensure adherence to company compliance policies and procedures

 

§ Manage service delivery for SSC Hub

o Support management practices required to optimise service delivery such as service level agreements, performance metrics and reporting

o Possess regional knowledge of labour market, including understanding specific laws, cultures, and policies

o Optimise organisational effectiveness in the hub through assessing opportunities to streamline activities or reducing rework/unnecessary work, controlling costs without sacrificing quality, productivity, and customer service, and managing change with limited business disruption

o Ensure appropriate controls are in place to comply with group and in-country regulations for all relevant entities and countries in the region

o Facilitate the assimilation of new companies (into shared services), as needed, during merger/acquisition programs

o Manage demand for new services or change in services based on regional demand and/or requirements

o Manage region-specific reporting or other ad hoc requests

o Support external and internal audit requests

o Measure and analyse performance of team delivery using key performance indicators (KPIs)

 

§ Act as key contact to handle complex cases

o Manage first line of defence through reinforcing culture of internal controls

o Apply advanced finance process knowledge to manage any escalations, investigations, and complex business/technical issues

o Provide oversight and guidance for exception-based journal entry processing

 

§ Direct period close and consolidation

o Oversee the region’s period end close and consolidation process and ensure all activities for period end closes are completed in a timely and accurate manner in line with the agreed period end timeline

o Address and solve complex and highly technical problems related to closing cycles

o Complete approvals on finance processes when required

o Report on performance to company’s group function

o Review financial and regulatory reporting and audit materials

 

§ Ensure SSC Hub team compliance

o Ensure compliance with all national and/or regional laws and regulations associated with duties and responsibilities by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions

o Ensure policies and procedures are followed by SSC hub team performing tasks during and outside period end close

o Ensure all process controls are adhered to and documented appropriately

o Support implementation of risk management process and associated controls in line with company policies

o Respond to requests from regulatory authorities and auditors

 

§ Collaborate with other teams

o Collaborate with Master Data team for required data points, best practices and standards and data issues

o Collaborate with other SSC process delivery teams to exchange information, as required, and support process improvement where dependencies may exist

o Close cooperation with Service Delivery Management during transition of services into the Hub and Operational Excellence setup, as well as Performance Reporting

o Partnership with local Site support teams, particularly Site Lead, HRBP and IT support

o Liaise with stakeholders across the business to ensure requirements are met, for example, to oversee that requests from Business Partners are actioned by the SSC hub in a timely and accurate manner

o Collaborate with Group Finance to share inputs on the design of policies and ensure proper implementation of policies

 

§ People management of the SSC Hub team

o Manage direct reports’ goals and objectives; prepare employee performance evaluations in a timely manner; ensure staff maintains KPI results within management expectations where necessary

o Develop/mentor team; provide advice, counselling, soft skills guidance; interpersonal, interaction skills; promote a diverse and inclusive work environment

o Foster adoption of the company culture and values and mindset shift to one SSC team

 

Skills & Experience

 

§ 5+ years general management service delivery experience in shared services operations (multifunctional preferable), with a track record of managing and transforming large teams

§ 5+ years of leadership experience in business transformation and/or outsourcing models

§ Strong English Language skills

§ Working knowledge of core finance systems, ERP and related specialty functional systems, frameworks, and functionality

§ Strong understanding of finance business processes, accounting policies, and statutory accounting principles to ensure compliant shared services operations

§ Proven ability to effectively navigate across functional disciplines and resolve conflicts as necessary

§ Demonstrate logical thought process to simplify complex issues and technical concepts, and to facilitate issue resolution

§ Ability to interact with company stakeholders to ensure a high quality of service, while balancing expectations and realisations

§ Ability to work in a fast-moving environment with a proactive approach, accustomed to working towards tight deadlines whilst maintaining quality of work

§ Strong stakeholder management skills, able to lead by example, hold teams, customers, and partners to account

 

Beneficial to have:

§ Qualified accountant (AAT/CIMA/ACCA/ACA or global equivalent) or qualified by experience

§ Experience in MS Dynamics

§ Conversant in other languages besides English, especially Hub site local language

§ Bachelor’s degree in Finance, Accounting, Economics, or other business-related discipline
