Job Description

To facilitate proper documentation and delivery of all customers’ orders on time.

Key Areas of Accountability:

  • Ensure accurate & timely processing of customer sales orders by checking the completeness of the submitted documents (PO, PDR’s) to the warehouse. 
  • Ensure that all free goods and price overrides are covered with approved Price Deviation Request.
  • Ensure that all outgoing stocks are properly documented.  This includes all instruments/service equipment.
  • Ensure that all commitments are fulfilled and stocks are delivered in good condition.
  • Ensure prompt and accurate response to all internal and external customers.
  • Prepares and process delivery discrepancy on a timely manner.
  • Coordinate with Logistics team for timely delivery of items and update customer needs.
  • Prepares customer master maintenance set-up form.
  • Monitor individual backlog by checking pending orders/backorders to ensure timely and accurate entry of all orders.
  • Prepares Purchase Requisition for warehouse and inventory (local purchase) requirements. 
  • Monitors and follows-up all pending requests from Purchasing Department.
  • Additional responsibilities include filing and continuous cross-training and uptraining in all forms of order entry.
  • In-charge of maintenance of Distribution Section equipment such as invoice printer, photocopier, fax machines, etc.
  • Preparation of weekly and monthly inventory report, including checking of pullout and deliveries in a weekly basis .
  • Take lead in the monthly and annual inventory physical count .
  • Take lead the inventory adjustment in system

Job Specification

Knowledge & Experience:

  • Experience in Accounting and Inventory recon is a plus
  • Knowledge and proficiency in Microsoft Office Outlook, Word and excel
  • Must be detail oriented.
  • 2-3 years of Customer service working with both and internal and external customers
  • Attention to detail and accuracy
  • Problem analysis and problem-solving skills
  • Strong customer follow-up skills
  • Interpersonal skills along with proven adaptability and initiative
  • Demonstrated telephone and business email etiquette with the ability to communicate clearly both written and verbally
  • Active listening skills

Minimum Qualification:

Bachelor’s degree in Commerce or Computer Programming.
