Job Description

PURPOSE OF POSITION

  • Directly support Communications Senior Director and generally support Communications team in operations and communications tasks.
  • Support the coordination of communications output and execution for Asia Pacific R&D, Janssen Japan R&D, Global External Innovation (Asia Pacific), Asia Pacific Innovation Center, Lung Cancer Initiative (China), and JLABS @ Shanghai.
  • Support the Communication team in shaping and executing a comprehensive, integrated regional R&D and Innovation communication strategy for Johnson & Johnson in Asia Pacific

 

RESPONSIBILITIES/PRINCIPAL DUTIES (Essential Functions)

  • Support the Communications team with the following externally focused activities:
  • Support the coordination, management and execution of external events while effectively engaging with internal/external stakeholders over the course of a project, including sponsorships, deal announcements, conferences, and other speaking and branding opportunities.
  • Support the operations of the Innovation WeChat content and production calendar.
  • Support the production of media materials including the creatives and project administration
  • Support partner press release review and approvals announcing new business deals or milestones in the region
  • Support the Communications team with the following other internally focused responsibilities:
  • Support regular newsletter contributions, an intranet site, regular town halls, and various internal initiatives.
  • Promotion of employee knowledge and understanding of, and engagement with, the strategic vision of J&J innovation. Showcasing and highlighting R&D success, collaboration and talent across the enterprise.
  • Support the development and execution of internal communication strategies for Asia Pacific R&D, Janssen Japan R&D, Medical Affairs, and Global External Innovation (Asia Pacific) to engage employees and heighten their level of understanding and engagement in the TA’s strategic priorities.
  • Support any activities involving visits by global leaders to the region
  • Manage a wide range of operational and administrative support-related tasks, involving research, data analysis, planning, correspondence, communication, document preparation, office organization, travel arrangements, including – 
  • Assist with creation/modification of presentations, spreadsheets, and other various documents for formatting purposes
  • Arrange travel bookings including flight, hotel, and ground transportation.
  • Prepare, reconcile and track travel and business expense reports through Concur for key Communication team members.
  • Coordinate with vendor and procurement locally and with regional offices.
  • Process invoices generated by the Communication team while managing and tracking budgets. Coordination with admin counterparts in the region as needed.
  • Maintenance of calendars/schedules by scheduling of appointments, arranging meetings, arranging conference calls, setting up rooms, building meeting agendas and minutes

EDUCATION/EXPERIENCE

 

  • A minimum of a Bachelor's degree in Communications, Business or a related discipline is preferred. Recent graduates or existing grad students are welcome to apply.
  • Exceptional native written and oral English-language skills and strong interpersonal skills, including the ability to effectively interface with executives and staff is required.
  • Ability to speak fluent written and oral Mandarin-language is a bonus.
  • Ability to assess the resource needs for daily admin work completed via different internal systems and contacts for travel, purchase orders, service request management and internal portals including Concur expense reporting and travel and SharePoint maintenance
  • Advanced knowledge of Microsoft Office (Outlook, Powerpoint, Excel, Word) is required.
  • Must have a strong track record of collaboration and strong personal leadership skills.
  • Must be an entrepreneurial team player who can stay organized, multitask and manage multiple projects/tasks to meet deadlines with minimal supervision. Experience managing multiple priorities in a fast-paced and matrix environment is required.
  • Self-reliant and results oriented with strong judgment and creative problem solving skills.
  • Experience in managing marketing or communications plans including internal or external engagements is preferred.
  • Experience in crisis/issues management is preferred. Good working knowledge of news and social media as well as professional/ trade associations is preferred.
