ESSENTIAL DUTIES OF THE JOB


1. Liaise with origination offices to ensure shipment punctuality;

2. Issue shipping documents, negotiation documents and other related documents properly;

3. Trace payment status and make sure all receivables received on time;

4. Following the title documents transferring status;

5. Maintain data in system timely and accurately;

6. Filing contracts/ all other documents orderly for good documents management;

7. Track contract execution status and report potential risks such as un-pricing risk, MTM risk timely;

8. Support trading team to deal with claims by providing related documents and evidences;

9. Coordinate with trading team and other functions to make sure contract executed smoothly and in compliance with company policies

10. Other related duties;


COMPETENCIES/SKILLS REQUIRED


Must

? Strong verbal and written communication skills in English

? Proficiency with MS Word and Excel

? Knowledge of commodity trading practices

Preferred

? Ability to work independently and propose solutions

? Ability to prioritize multiple tasks and meet strict deadlines


EDUCATION/EXPERIENCE


? Four-year university bachelor degree

? Minimum 3 year of execution experience with commodities trading company

? Minimum 1 year of execution experience about international trading business and familiar with international settlement such as LC, DP, etc.

Preferred

? Preferred in International Trade, English, and Logistics related majors

? Preferred with metal execution experience

POSITION RESPONSIBILITIES

Overall Purpose and Objective of Position

The Senior Execution Officer is responsible for overseeing and executing all overseas contracts from trading activity and provides training to Junior Execution Officers.


Primary Responsibilities/Essential Functions

Deal with import and export orders in order processing and transactions on daily basis.

Review purchase and sales contracts entered by commodities traders so they can be activated in the trading system. Ensure that every contract has been signed by the appropriate trader and mailed on a daily basis.

Verify accuracy between contracts received and contract in database; recognize discrepancies and communicate to trading personnel.

Arrange L/C opening in due time and check L/C draft and LC received are in order. Prepare and collate documents for presentation under sales L/C making sure all documents to be presented under L/C are clean; monitor the L/C exposure on a daily basis.

Ensure cargoes are shipped correctly including the issuance of shipping instructions and freight bookings as well as vessel tracking.

Maintain shipment tracking spreadsheet on daily basis and ensure shipment affected on time per contract terms.

Liaising externally with both other LD offices as well as with suppliers and customers.Ensure the settlement is performed properly include receiving the payment in a timely manner and the payment is correct; Liaise with traders on weight and quality issues both on purchases and sales.

Report insurance claims to insurance team and insurance broker and properly preserve all correspondence on the claim.

Be responsible for maintenance of the trading system to ensure the contract execution status is correct and all relevant data is input correctly and on time.

Review daily reports; distribute to traders and management when required.


Additional Responsibilities

Reviews open contracts reports in conjunction with Execution Manager to determine which contracts can be closed and amends them accordingly; updates reports utilizing word processing software.

Responsible for testing new applications and changes in new trading system before implementation.

Coordinate retrieval of requested information for various audits throughout the year.


QUALIFICATIONS /SKILL SET

Must :Strong verbal and written communication skills in both English or French, English is priority.

Proficiency with MS Word and Excel.

Scrupulous and pay attention to details, good analytical skill.

Knowledge of commodity trading practices, terminology and settlement process including but not limited to LC, DP and TT payment.

Preferred:Accurate data entry skills.

Strong documentation skills.

Ability to work independently and propose solutions.


EDUCATION/EXPERIENCE

Must :Four year university bachelor degree preferred in International Trade, French, Logistics related majors.

Minimum 1-2 years of execution experience in foreign company or a trading company.

Preferred:Ability to prioritize multiple tasks and meet strict deadlines.


Must approve final contracts in conjunction with trading personnel. Applies knowledge of cotton industry to ensure accuracy of contract terminology. Responsible for positioning/activating contracts in the trading system; must activate correctly as traders rely on positions when making decisions. Requires timely and efficient completion of duties to meet operations deadlines. Ensures accuracy of data entered into execution computer system and in reports distributed through department.
