Job Description

Under the supervision of an Associate Project Manager and Head of Content Operations, the Junior Project Coordinator is a key member of the RWS internal Creative Services marketing team. The Junior Project Coordinator supports day-to-day project activities based on predefined production requirements and communicated project scope. Tasks may include but are not limited to internal stakeholder communication, project set-up, scheduling, cost estimate preparation, project file organization, placing jobs with creative team members, and ensuring on-time deliveries.

Key responsibilities:

  • Working closely with management to effectively resource job requests and prioritize tasks for each creative department
  • Responsible for escalating to management if information is missing at project intake. Schedule briefing calls as needed
  • Lead presentations educating clients about project steps, timelines, and deliverables
  • Coordinate with colleagues in other creative departments to ensure cost and time estimates are accurate and within creative team capabilities based upon available resources
  • Monitor overall creative team bandwidth and route tasks/projects evenly, escalate to management when additional resources are needed
  • Ensures that creative team members have proper instructions regarding project delivery and timescales
  • Serve as a primary point of contact to stakeholders on assigned projects, providing regular status reports on projects
  • Responsible for managing and meeting all assigned project deadlines to specification and within budget
  • Perform administrative duties, which include project closures and folder structure maintenance

What you will need to be successful

  • University Degree in Marketing, Business, English, Foreign Language, or another related field
  • One to three years of hands-on experience coordinating projects
  • Previous experience in a marketing role is preferred.
  • Ability to communicate effectively with others; in particular, you must be able to demonstrate a clear understanding of a project’s requirements and the associated creative services procedures.
  • Can prioritize work demands, problem-solve job-related issues, and maintain composure under pressure.
  • Understands, applies and use software such as; Word, Excel, PowerPoint, Adobe Acrobat, Office 365.
  • Knowledge of project management tools (ex. Workfront)
  • Customer service experience would be an advantage but is not essential
  • Be a team player, someone that is able to work and communicate well with customers and stakeholders to ensure successful deliverly of projects.
  • Great attention to detail and time management skills
  • Fluent written and verbal English language
