About the role:
Under the general supervision of the Director of Linguistic Validation Operations, to administer the functions and operations of the Project Coordination (PC) department of the Linguistic Validation division, ensuring the efficient, accurate and timely completion and shipment of all projects and assigned work. The position is responsible for a positive client experience including effectively addressing issues escalated from others and attending client meetings as required.
The LV Quality & Purchasing Manager ensures correct processes, methodologies and risk assessment is used on all projects including appropriate staffing based upon volume and complexity. The position actively manages any reported deficiency in deliverables, ensuring appropriate internal escalation and engagement of required team, and ensures timely completion of root cause investigations and CAPA reports.
The LV Quality & Purchasing Manager provides general oversight of project activities within the Project Coordination department and ensures production and project objectives are met including budgetary and KPI requirements. The position regularly meets with teams to discuss open and emerging business issues as well as to make recommendations for improvements and lead on their implementation.
The LV Quality & Purchasing Manager has department management responsibilities and direct reports. The position completes individual performance reviews and sets goals for the team.
Responsibilities:
- Ensures that correct processes, methodologies, and risk assessment is used on all projects. With direction and oversight from supervision, builds, mentors, and manages the PC team, including both Project Quality Coordinators (PQC) and Project Placement Coordinators (PPC), to ensure it is appropriately staffed based on volume and complexity.
- Actively manages any reported deficiency in Life Sciences deliverables, ensuring appropriate internal escalation and engagement of Sales, Department Management, and Quality Management. Ensures timely and professional completion of root cause investigations and CAPA reports.
- Routinely monitors, mentors and motivates PC team members, including ensuring appropriate training and development, and succession planning.
- Ensures that all assigned client projects are completed in an efficient, accurate, and timely manner and transmitted to clients as required.
- Meets with clients and attends conference events as necessary to discuss quality processes and improvements.
- Ensures that PC functions occur in an efficient and timely manner.
- Maintains accurate and up-to-date daily log (DPR) of ongoing client projects for the purpose of coordinating the amount and complexity of work among employees under supervision, modifying work assignments as necessary to meet the department’s objectives.
- Schedules and assigns work among employees under supervision, sets work methods and performance standards, and monitors their performance.
- Identifies, communicates and manages production risks as appropriate to eliminate potential pitfalls or obstacles.
- Reviews and analyses all questions from employees under supervision regarding LV project coordination work-related issues or problems and resolves issues and implements corrective measures as necessary to ensure proper workflow and client satisfaction.
- Ensures strict adherence to deadlines, budgets and the completion of high-quality deliverables.
- Maintains and assists in ensuring the reliability of key operating data and databases.
- Reviews, updates, and maintains accurate and up-to-date project and client records.
- Ensures timely and effective feedback is provided to Vendor Management related to external resource performance.
- Ensures other departments are kept informed regarding the status of project work and otherwise communicates as needed to ensure client needs are met and issues are resolved.
- Actively participates in management and other meetings.
- Composes or generates a variety of materials (e.g. reports, memos, letters, manuals, etc.) for the purpose of documenting activities, training, providing written reference and/or conveying information regarding the status of projects, etc.
- Recommends policies, procedures and/or actions for the purpose of improving efficiency and product quality, and for providing direction for meeting the company's objectives.
- Participates in the selection process for new employees.
- Coaches, develops and mentors direct reports.
- Sets specific and measurable goals for direct reports and ensures their measurement and review.
- Supervises and evaluates assigned personnel in a timely and professional manner for the purpose of ensuring their department and individual performance objectives are met.
- May perform LV project coordination duties as needed for the purpose of contributing to the accurate and timely completion and shipment of projects within the department.
- Understands and adheres to company Quality Management System (QMS) requirements including but not limited to ISO 9001 and ISO 17100 standards. Assists in root cause analysis.

- Ability to resolve customer service issues in a professional and efficient manner.
- Familiarity with and understanding of inter-departmental functions in order to most effectively manage projects and supervise staff.
- Ability to develop systems and processes from the ground up, communicate those systems outwardly, and win support from colleagues and supervisors as needed
- Ability to exercise discretion and independent judgment in relation to work responsibilities, working with minimum supervision.
Qualification Profile:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- Four-year college degree or equivalent in Business, English, Foreign Language, Social or Applied Science, or other related field. Master or MBA a plus.
- Four or more years demonstrated successful LV project management, project coordination, project planning, or production control planning experience.
- Successful customer service/account management experience, generally a minimum of five years, including at least three years’ experience within the translation industry.
- Demonstrated successful leadership or mentoring experience, minimum three years.
- Advanced computing skills, including experience with TRADOS or other translation management tools (CAT, or Computer Aided Translation tools).
- Experience with publishing applications (e.g. XML, JSON, In Design, etc.) a plus.
- Verbal and written fluency in at least one foreign language a plus.
- Previous translation experience preferred.
