This role supports the end to end learning administration for key programmes and activities within enterprise learning. Providing administrative support this role carries out a range of relatively routine activities and processes to provide support to the Leader & Enterprise Development team.  This role serves as the initial point of contact for key stakeholders.

The principal activities of this role are:

  • Platform management  for key programmes
  • Maintenance of Sharepoint online site
  • Management of Box folders, e.g. Updating documents – (changes to agenda, manage the documents in the storage)
  • Management of the programme mailboxes (checking daily, answering queries)
  • Maintenance of the learning planner (with status update)
  • Finance management and Invoicing
  • Answering on queries related to learning programmes (from vendors, coaches and participants)
  • Coordinate all communications including joining instructions, manager informs, etc
  • Global room bookings, hotel and restaurant bookings for f2f training programmes
  • Entering attendees in the visitor system, ensure badges where necessary
  • Print list of coaching slots for facilitators
  • Online trainings cohort administration and management via Box under direction of L&ED Director
  • Launch plans and checklists
  • Weekly participant reports for each cohort, sharing with Lead Educators
  • Weekly stats and reports
  • Uploading participant spreadsheets, update and upload cohort specific content in the system
  • Coordinate and schedule all kick off, and briefing calls, as well as aspiration interviews for each Rising Leader.
  • Take the lead on visa letters for all participants and coaches at the DC.
  • Handles coordination of mentee questionnaires and can assist with pairing.
  • Gather feedback through surveys and monitor satisfaction ratings, make recommendations for changes, and help keep content relevant.
  • Measure KPIs and analyze data

    Required Capabilities:

  • Prior administrative experience; ability to follow processes, preferably in learning and development
  • Exceptional organizational skills, high level of flexibility and ability to manage detail
  • Ability to multi-task and handle competing priorities
  • Strong focus on customer service/support
  • Able to handle a large volume of transactional work with a high level of consistency
  • Detail oriented
  • Excellent communication and interpersonal skills
  • Proactive approach in addressing obstacles/barriers
  • Team Player – Collaborative style of working, good communication both written and spoken
  • Preferable experience working in HR/Learning and Development
  • Very good command of English
