We are currently looking to hire a Legal Administrative Assistant for a minimum of a 12-month contract beginning in August 2021.
Responsibilities
- Support highly confidential and time sensitive matters for General Counsel and act professionally in responding to key stakeholders
- Using Siemens systems and protocols, book and coordinate travel (including booking flights, accommodations and all related arrangements) for team of 3 lawyers
- Coordinate expense reporting for lawyers relating to CPD, travel, etc.
- Schedule and book meetings/meetings rooms/book conference lines for legal personnel
- Support SharePoint legal contracts database by uploading contracts and contract materials, performing regular checks and database maintenance
- Assist commercial counsel with contract management tools, including tracking sheets, contract review processes and contract reviews
- Assist with preparation of and maintaining legal precedents/materials, templates, and PPT presentations on SharePoint
- Support lawyers in review of confidentiality agreements, identification of high level risks during contract review, assist lawyers to ensure that negotiated contract terms have been properly included in contract terms using document comparison software
- Assist with formatting of legal documents and presentations
- Assist with procurement of IT/Office supplies for legal department
- Development and maintenance of a reminder system (action items/to dos)?
Qualifications
- Ontario College Diploma or equivalent with focus on legal administration, legal clerk, or similar accreditation
- Prior administrative experience in a law firm or in-house environment
- Character and professional references
