Our location in Lake Bluff, IL currently has an opportunity for a Legal Assistant II.  

WHAT YOU’LL DO

The legal assistant works closely with the paralegals and attorneys who actively manage the corporate governance of all legal entities (450+) outside of the U.S. and assist with other global projects that involve these legal entities, e.g., integration, name changes, Tax initiatives.

Main Responsibilities:

  • Coordinate and track legal documents for execution with senior business leaders (including EVPs) and other internal stakeholders
  • Prepare documents for legalization by various governmental bodies, direct external vendors with detailed document handling instructions, and perform quality control on vendors’ actions
  • Manage user access and content for ILO’s SharePoint sites
  • Organize documents in iManage and GEMS (global entity management system)
  • Generate organization charts, including shareholding information, to be produced in compliance with governmental filings
  • Handle routine information requests during vacation coverage of paralegals
  • Train other administrative assistants about processes involving legal document handling
  • Support attorneys  with administrative tasks as needed
  • Develop knowledge of and follow different departmental processes or policies as well as identify opportunities for process improvements
  • Handling general administrative matters and projects, including copying and filing, regularly updating lists of information in databases, running searches, and providing reports on either a scheduled or ad hoc basis
     

Additional Job Responsibilities: 

  • High degree of professionalism and ability to discreetly handle confidential information and/or critical transactional documents
  • Ability to establish strong working relationships with Board of Director members and senior business leaders’ assistants
  • General knowledge of legal terminology
  • Be self-motivated and work under minimal supervision to meet fast-paced deadlines
  • Consistent and strong attention to detail, good judgment, solid time management and prioritization, with the ability to effectively multi-task
  • Proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel and Teams)  and other common applications (e.g., eBilling system, document management system, automated workflow system)
  • Strong analytical, written and oral communication skills

EDUCATION AND EXPERIENCE YOU’LL BRING

  • Bachelor’s Degree or an equivalent combination of education and work experience
  • Minimum 1 year to 3 years of experience within a corporate legal department or law firm setting
  • Paralegal certificate not required for position but can assist in career advancement within the Legal division

Highly Preferred Experience/Skills:

  • International subsidiary entity management experience
  • Experience in the legal department of a large company or law firm
  • Notary public license
  • Experience with, or motivation to learn, project and vendor management, data analytics (metrics) and change management skills
