The BD Law Group is seeking an experienced Litigation Specialist to support its litigation and government investigations functions.

The Litigation Support Specialist provides highly specialized support to attorneys and other functional areas in the Company. The Litigation Support Specialist manages and oversees all aspects of litigated matters, including products liability, commercial litigation, and government investigations.

Responsibilities and Duties

  • Supports Litigation functions, including responding to all legal process requests the Company receives, not limited to subpoenas and discovery, in accordance with applicable law and company procedures
  • Provides direct legal support for multiple litigation attorneys and assists other litigation attorneys and paralegals with projects as required.  Support litigation attorneys and staff in defense of litigated matters
  • Independently researches, retrieves, and organizes company records in response to legal process requests and prepares and produces the materials to requesting parties in compliance with company procedures
  • Categorizes, indexes and simplifies large amounts of factual information and curates into a succinct format
  • Conducts legal and/or factual research as needed
  • Drafts routine documents, correspondence, and presentations
  • Develops a basic understanding of the Company’s core businesses
  • Stays current with industry trends, relevant legal developments, and technology enhancements.
  • Develops a deep understanding of legal department electronic applications and technology such as e-discovery platforms, third-party file sharing sites, compliance repositories, and digital databases
  • Builds and maintains relationships with internal/external stakeholders by communicating professionally and effectively, recognizing what needs to be done, and demonstrating flexibility and responsiveness to meet stakeholders’ needs on routine work independently
  • Supports and promotes change management and/or departmental/enterprise initiatives within assigned area(s) of responsibility
  • Meets or exceeds departmental quality and service standards
  • Delivers work independently, in accordance with established procedures and guidelines, in a timely manner and meets deadlines appropriately
  • Applies expanded knowledge obtained from the role in increasingly more complex situations and continues to acquire more knowledge to apply in role
  • Manage custodian and system legal hold notices, including drafting, issuing, and releasing legal holds in legal hold software, Exterro
  • Work on electronic discovery issues, including document collection, retention, and remediation
  • Prepare PowerPoint presentations, including creating charts and synthesizing data
  • General administrative support, including:
    • Opening and distributing mail, copying, faxing, and scanning, preparing letters, and processing check requests
    • Making travel arrangements, maintain calendars, and schedule meetings for Litigation Team
    • Loading finalized presentations to Diligent and preparing reports for Audit Committee
    • Preparing and processing expense reports for litigation attorneys through Concur
    • Tracking all complaints and routing them to correct law firm
    • Reviewing invoices from outside counsel to track spend against budget or fee agreement
  • Assist with special projects as requested. Track and handle projects to completion and operate with a high degree of independence

Knowledge and Skills

  • Minimum of a High School Diploma with secretarial school training or equivalent work experience required
  • Bachelor’s degree preferred or an equivalent combination of education and experience.
  • Paralegal certification, project management certification and/or equivalent experience
  • Microsoft Office 365 – Teams, Forms, SharePoint, Dynamics, and OneDrive
  • Proficiency and experience using Microsoft Office package (Excel, Access, PowerPoint, Word)
  • Optimization of work processes. Knows the most effective and efficient methods to get things done, with a focus on continuous improvement.
  • Good written and verbal communication skills with an emphasis on confidentiality, tact, and diplomacy
  • Good organizational and analytical skills; demonstrated ability to manage multiple tasks simultaneously
  • Ability to work independently and exercise good judgment
  • Ability to prioritize tasks based upon deadline, significance, and client need; escalates issues when appropriate
  • Ability to partner effectively in a team environment and quickly establish credibility with internal clients
  • Detail and process orientated; ability to manage large volume of information
  • Strong understanding of best practices for handling electronically stored information (ESI) throughout eDiscovery (EDRM) lifecycle preferred
  • Knowledge of billing software, such as Legal Tracker, and legal hold solutions, such as Exterro
