Project Coordinator
SUMMARY
This position serves as Project Coordinator within the Life Sciences team at SDL. The Project Coordinator is responsible for managing translation projects for life sciences clients in the clinical / CRO vertical from start to end, including client communication, project cost estimation, coordinating the work among linguists, managing workflows, processes and Computer Assisted Translation (CAT) tools. The role also involves being in charge of the final quality assurance of translations, real-time and accurate recording of activities, investigation of issues reported externally/internally, as well as production analysis, client estimates as needed and client invoicing.
KEY RESPONSIBILITIES:
- Review the jobs assigned and assess needs for additional information, e.g. compilation of glossaries, previously translated similar documents, list of acronyms, technical terminology, and translation memories
- Manage client communication relating to translation projects, in-language and English as applicable.
- Manage translation teams and linguistic assets to ensure compliance with SDL productions workflows and that quality and turn-arounds standards are met
- Select and assign translation teams, negotiate rates and deadlines and coordinate production with translators, proofreaders, in-country client reviewers, typesetters and Customer Service Reps
- Keep Sales-person/Production Lead up to date of on-going project activities as required
- Keep project admin records up-to-date and accurate at all times
- Check projects costs for accuracy and match to purchase order
- Exercise sound judgment in keeping supervisor informed of potential risks and difficulties
- Inform supervisor of all issues affecting cost, quality and turn-around time
- Check accuracy of translation prior to sending it to client or to typesetting if needed
- Deliver complying with contractual KPI (key performance Indicators) requirements relating to quality and timeliness
- Perform issue investigations and execute/monitor the implementation of CAPAs (Corrective and Preventative Actions)
Organize or attend client calls as needed to address specific issues or for regular review
QUALIFICATIONS AND KEY ATTRIBUTES:
- Minimum 3-year previous project management experience in translation services, with a minimum of 1.5 years managing translation projects for Contract Research Organizations, especially clinical trial translations, handling all variants of Chinese requests as well as project management experience in handling pharmacovigilance translation requests.
- College degree (BA, BS) and Masters’ degree in Translation and/or interpretation or equivalent experience
- Fluent in English and Chinese
- Strong computer skills (Word, Excel, PowerPoint, Acrobat, html, xml)
- Familiarity with desktop publishing software
- Linguistic skills to include ability to create glossaries, assess quality and completeness of translations
- Advanced translation memory experience and Translation Management Systems (TMS) including Trados and Multitrans
- Experience in managing interpreting assignments
- Advanced file / project management experience
- Ability to prioritize while handling multiple projects simultaneously in a hectic, time-sensitive environment
- Ability to communicate accurately detailed instructions to multilingual vendors
