Job Overview
Responsible for developing, overseeing and validating all budgetary forecasting to ensure the entire Global Vehicle Logistics and Customs Department stays within budgetary restrictions. In addition responsible for developing the processes to administer and implement all purchasing and bidding related activities for daily business as well as any special projects for both capital expenditure and general administration to ensure that the projects are submitted properly in compliance with all necessary administrative requirements and to ensure such projects are set up properly for execution in the Global Vehicles Logistics and Customs Department. Responsible to develop, align on a regular basis with the DM of Vehicle Operations in order to review budget, reporting and identify any cost irregularities, discrepancies, or issues and ensure any inefficiencies in the supply chain for exports is identified so corrective action can be undertaken. Such as, ensuring the processes are in place to identify discrepancies and identify solution to correct costs and/or create efficiencies for the Vehicle Logistics & Customs GM areas. Responsible to develop and manage all processes necessary to ensure all contracts, service level agreements and cross-reference budgets are reported timely and accurately. Responsible to identify and determine incorrect charges within reporting and research solutions to ensure clean, clear, transparent and accurate budget reporting. This position is responsible to oversee accounts payable records to ensure that VD&Cs account are paid timely to maintain vendors that are crucial for the supply chain and revenue at MBUSA. Responsible to create purchase requests and process invoices received from vendor’s understanding contract terms and validate such requests for payments are in accordance with contract. Responsible to analyze and resolve highly complex payment and budget issues,
- Consults with all DMs within VL&C on budget requirements and finds solutions to rectify any budgetary issues.
- Utilize project management tools and methods to document departmental project plans, requirements, resources, actions and deliverable results.
- Responsible to assist in long-term project that will ensure operational efficiency of our VPCs and Marshaling yards with expansion projects/ will be expected to build complex business cases, cost analysis to be shared with EM.
- Conduct freight costs analysis annual to share with controlling.
- MBUSA is now responsible for import and exports, this person is responsible for all financial transaction between MBUSA, and MBUSI are accurate. Finding creative solutions to automate and have operation efficiencies.
- Responsible for all imported vehicles shipping to the US.
- Manage day-to-day inbound shipping operations for MBUSA, which included creating, building & effectively managing relationships with ocean carriers or service providers to ensure that the supply chain for domestic imports will remain fluid and support movement to MBUSA providers necessary to ensure revenue is generated from the imported vehicles.
Responsibilities
Finance Responsibilities:
- Responsible for the overall management , process development and reporting on all cost centers within Global Vehicle Logistics and Customs Operations which consists of 10 different departments.- Monthly high-level and line item-level reporting, with focus on discrepancies
- Quarterly meetings with cost center managers
- Management of all expense reallocations and other budget-related tasks
- Ongoing communication with VPC coordinators and managers for "red flags", questions, etc. relating to line items in the budget report
- Ensure all phone charges, travel expenses, fuel cards, and approval routing are assigned to correct cost centers and IOs
- Responsible to communicate with Controlling – provide the forecasting of Expected Actual (EA) estimates based on Controlling timeline on a quarterly basis; provide upcoming annual budget plan, broken down by cost center, GL account, and month
- Creation of Purchase Orders and P Contracts (with IPS), as well as other related documentation (SSL, Critical Spend, etc.)
- Responsible to develop the process and implement the payment of all invoices, with appropriate backup and confirmations to ensure the timely submission and maintenance of the budget.
- Create and manage vendor contract creation and provide guidance to business owners and IPA to ensure that all requirements are done accurately and timely. Responsible to oversee the entire IPA process and contracts on behalf of the department from implementation to completion
- Engage MBUSA stakeholders in the project and ensure that they are informed of and involved in work streams impacting their area if responsibility
- Routing and tracking of Service Level Agreements (SLAs) and vendor contracts in iCertis; continue tracking and follow-up with affiliates and vendors to ensure all charges are properly accounted for
- Miscellaneous Billing/Invoice creation and routing to affiliates and/or vendors
- Support all managers and coordinators as needed for any finance-related topics and issues
- Ensure and oversee the pro-forma invoices for customs operations for exports is done timely, accurately and in accordance with US Customs requirements
- Oversee the sales system relative to all financial transactions between MBUSA, MBUSI and MBAG for exports. ng
Operational Responsibilities:
- Responsible to ensure all financial transactions between MBUSA and MBUSI are accurate and timely completed.
- Responsible to manage vehicle returns process for export vehicles that are returned to MBUSI and to identify which vehicles will be returned due to various business reasons.
- R esponsible to develop the process which provides the transparency to both MBAG and MBUSI relative to the vehicles return to MBUSI so that the applicable worldwide markets are informed of disposition of vehicles.
- R esponsible to develop and oversee all requests from MBAG and MBUSI relative to all financial transactions for export vehicles and maintain all necessary documentations in support of proof of sale. of sale
