JOB SUMMARY:

This position will be working in the Group & Events Sales team at the W London and will be working very closely with all team members within the team as key stakeholders such as the Global Sales Office, the Hotel Operational teams; Director of B&F, Head Chef, and the Pro-active Sales Team and Revenue Management to ensure that all event enquiries that fall within the remit of this position are converted and planned efficiently. This involves any effort to convert an enquiry into a confirmed and contracted event as well as the detailed planning of the event and follow up afterwards. Also, this position is responsible for building and maintaining strong relationships with clients with the aim to create loyalty and return business. Pro-active approach to drive new revenues and setting up an action plan to achieve budgeted goals

 

MAIN DUTIES & RESPONSIBILITIES

 

Private/corporate event responsibilities:


¨Exclusive booking requests for Perception Bar, Screening Room, Studios and combined events and achieving its budgeted goals.

¨Generating New Business through off-site Sales Calls, called calling, building up business relationships, inviting Clients to Sales and Special events.

¨Hosting WOW site inspections and within creative ways winning the business vs. the competition.

¨Active Participation and organising Famtrips and Sales Network events

¨Managing Group Room night blocks when in combination with Event Space hire

¨All Screening Room on site event management & projectionist planning with less than 48 hour lead time/or when required.

¨All Screening Room events planning for regular W clients.

¨Produce event orders for events.

¨Presenting all upcoming event orders in the weekly Pack meeting.

¨Contracting all required events.    

¨Advising Pro-active Sales teams on event spaces and joining when possible on walk arounds

¨Distributing additional, amended and last minute event orders for all events on site.

¨Work with marketing to create Perception collateral and event packs.

¨Work closely with Group & Events team to achieve budgeted hotel goals through communication and collaboration.


Other responsibilities:

¨Adhere to W Telephone standards

¨Utilize Opera/booking procedures. Adhering to all W legal requirements

¨Maintain a maximum of 8hr (working hrs) response time to enquiries and correspondence and maintain system for active follow up.

¨Liaise with Ops Manager/Director of B&F on any client issues and action accordingly

¨Organize and attend weekly events briefing providing accurate updates on details of bookings and enquiries

¨Adhere to all Marriott and UK credit policies and procedures and ensure clients are made fully aware of all credit decisions, contract and deposit requirements

¨Responding to and booking in all internal/ external enquiries for Perception which includes but is not limited to; Table bookings, guest lists, afternoon tea and brunch, cocktail master classes and tastings

¨Assist with Creating Perception guest list excel sheets and distributing to operational teams accordingly

¨All internal event enquiries from Marriott and organized events.

¨Project a pleasant, positive and professional image to all contacts and colleagues at all times

¨Any other reasonable request within your range of competence as required by your HOD.

 

Database building and guest correspondence responsibilities:

 

¨Collect all email, postal address, birthdays, special event dates, etc. from the different sources of client correspondence onto the central database

¨Communication pre-arrival (e.g. looking forward to your arrival) and post-departure (e.g. thank you for coming) with Perception high spenders, table bookers and key influencers.

¨Proactively target previous years bookings and recent business to drive more frequent return bookings

¨Develop and implement with the Director of B&F, business initiatives and strategies to compete with local Comp set and help fill quiet periods. This may include, but is not limited to, revenue streams/actions that fall within your range of competence.

¨Reconfirm via phone call or email all future bookings for the following 48hr period. (Table bookings and private bookings)

¨Welcoming all business booked in and handing them over to the operations team on the night.

¨Presenting weekly analysis of YTD and MTD figures in weekly strategy meetings with Sr. Events Manager, Stakeholders and General Manager.

¨Ensuring all systems this position is responsible for are maintained and kept up to date with all enquiries and their current status.
