Job Description

Manager, Facilities & Support Services

Reporting to the Director, Corporate Talent & Culture, North & Central America, this position with be the main liaison with the Toronto Corporate Office and the Building Management team, as well as be the key contact for all external contractors with respect to the building operations.

What you will be doing:

  • Key contact for all 3rd party relationships with daily cleaning, carpet maintenance, plant maintenance), courier, record management document, furniture and artwork off-site storage, shredding, maglock security systems
  • Ensure all Covid-19 safety protocols are in place, staying up to date with current legislation, and coordinating contract tracing in a timely manner. 
  • Supervise roles within the team: Facilities Assistant, Receptionist, Mailroom
  • Manage the Company Travel Program in partnership with assigned Travel Agency to provide booking solutions for Company travel needs.
  • Oversee the Company Amex Credit Card program, including applications, payment reminders and terminations. 
  • Prepare and manage the annual Facilities Budget. 
  • Assist Procurement with any data on existing  contracts and provide operational background to any services that Facilities manages 
  • Manage inventory for Off-site Storage facilities (spare furniture, record storage, artwork)
  • Manage colleague desk moves, update floor plans and workstation tracking documents, furniture reconfigurations. Lead, manage, and oversee all office related renovations and office moves
  • Manage employment requests with Talent and Culture and Technology services (new hires, transfers, terminations)
  • Review all in-bound emails to the group email account ‘Facilities Management’ and take ownership on items related to Coordinators areas of responsibilities
  • Manage employment requests with Corporate Talent and Culture and Technology services (new hires, transfers, terminations) including building security cards, equipment/access needs, employee orientation, desk assignment/set up, employee departure process.
  • Primary contact with mobile phone vendor for orders, cancellations and plan modifications 
  • Provide guidance to Corporate employees and assist in maintaining all company standards as it relates to Facilities Management
  • Participate in quarterly Green Council meetings, with Landlord to encourage sustainability and eco practices.
  • Partner with Corporate Talent & Culture on all Health & Safety compliance matters including leading the Joint Health & Safety Committee
  • Chair Joint Health and Safety Committee/Fire Warden duties

Your experience and skills include:

  • Post-secondary education, degree preferred. 
  • 2-3 years Facilities Management or similar experience required
  • Must be process driven and attention to detail is crucial
  • Strong proficiency of Microsoft Office applications 
  • Customer Service experience is mandatory
  • Experience in leading a Joint Health & Safety Committee is an asset. 
  • St. John’s Ambulance First Aid certification is an asset

  • Based at the North & Central America Regional Office in Toronto, Ontario
