In this role, you have the opportunity to manage a Quoting team of 10-20 employees, review and approve complex quotes (based on approval matrix), manage SLAs/turn-around time, manage quality, handle field and customer escalations, and coordinate team hand offs with planner and billing admin roles.

You are responsible for (but not limited to)

  • Managing a team of 10-20 Quotation Specialists.

  • Resolving problems of moderate scope where analysis of situations or data requires a review of a variety of factors.

  • Exercising judgment within defined procedures and practices to determine appropriate action; building productive internal/external working relationships.

  • Initiating the required internal actions, monitor the progress and push for the deliverables

  • Auditing complex cases for accuracy and ensuring timely accurate revenue recognition and/or case completion.

  • Motivating employees and creating an environment where employees thrive.

  • Enforcing company policies to cultivate an environment that makes employees hold one another accountable for their actions.

  • Staying abreast of new technologies or systems when introduced to business with the ability to train employees.

  • Evaluating data, reviewing, and rating employee performance.

  • Developing and setting departmental goals; articulating both short and long term employee goals

  • Managing personnel functions, including timekeeping, training, performance and development; participating in interviewing and hiring activities.

  • Managing the operations process, planning, control, performance improvement, and operations strategy

  • Communicating with internal & external customer regarding complex purchase order and billing accuracy; interfacing with multiple internal departments to maintain the integrity of functional data.

  • Accurately performing work order verification and processing in accordance with established policies and procedures.

  • Handling escalated internal and external customer situations.

  • Preparing and distributing departmental reports, such as scan second, uptime, response time, service/site history and pool.

  • Providing escalation path for others when answering, completing and responding to customer requests via the group email boxes; providing escalation path for others when answering inbound calls through the ACD lines.

  • Researching and appropriately responding to complex accounts receivable (AR) disputes.

  • Creating and managing Field Approval Requests via designated tool

  • Processing and resolving interface issues via the Error Handling Tool in accordance with established policies and procedures.

  • Consistently completing and signing all training documents prior to set due dates.

  • Ensuring customer orders meet regulatory procedures and guidelines.

  • Actively contributing and driving team meetings and discussions.

  • Enhancing Philips profitability and growth through achieving the department's goals and objectives.

  • Facilitating team trainings and meetings; delegating and/or performing new hire training

  • Completing knowledge of team processes, with the ability to speak to processes. .

  • Developing and implementing training processes improvements and procedures while using critical thinking.

  • Reviewing and auditing team productivity for accuracy and providing coaching opportunities.

  • Assisting with fiscal end-of-period close, ensuring accuracy of revenue recognition

  • Providing the data required to complete Sarbanes-Oxley (SOX) controls and internal controls.

  • Executing and monitoring the team statistics through reporting.

  • Supporting the IT projects that impact Philips operating systems; through involvement in the resolution of issues, testing and gap analysis

  • Leading in the day-to-day activity and operations of the team.

  • Performing other related duties, projects and tasks as assigned by leadership.

To succeed in this role, you should have the following skills and experience

  • Bachelor’s degree in Business Management or related field

  • 3 + years minimum management and leadership experience in high demand, fast paced culture

  • 2 + years of intermediate or advanced Excel proficiency

  • Strong problem solving skills and familiarity with Lean methodology

  • Excellent communication skills (written and verbal) with internal and external customers

  • Results-driven, action-oriented, and self-motivated mindset
