Position Summary:
The Media Relations Specialist is responsible for cultivating and managing relations with media reps, and overseeing the distribution of communications to the media, including pitching case studies, articles, press releases, events, and supporting other public relations initiatives. The Media Relations Specialist will be responsible for managing coverage reports, PR budget, support corporate, regional colleagues, and external stakeholders to execute PR campaigns.
The Media Relations Specialist will be responsible for managing media coverage reporting and analytics for C-level distribution, and administrative and technical tasks using various PR tools and systems.
We are looking for a candidate to propose new and innovative ideas for disseminating PR content through social media outlets. This candidate should be a go getter, inquisitive, innovative, and an outstanding communicator who is ready for a challenge with a company with continued growth.
Your Day-to-Day:
The Media Relations Specialist is primarily responsible for, but not limited to, the following tasks:
Obtaining coverage in US publications
- Pitch to publications and work with journalists to provide content to obtain article placements.
- Write and create pitches, invitations, and media advisories.
Press Release & News Alert distribution
- Distribute press releases and news alerts via media databases and platforms.
- Publish PR Press release/News Alerts on bentley.com, website and web systems.
- Curate and publish coverage, on website.
- Create press kits for events, topics, and projects.
Editorial Calendars
- Research maintain editorial master calendar by collecting editorial calendars from top tier publications. Work with regional teams to collect top level regional opportunities.
- Follow up on publications we advertise with to collect all opportunities.
- Manage editorial calendar, research add new opportunities, tag against industry topics.
Coverage Reports
- Manage the collection and creation of global coverage report, producing quarterly coverage reports.
- Research and collect Bentley coverage using media tracking platform and other tools, act as analyst, define and clean up media pickups and create reports. Focus on visual reporting and reporting trends.
- Prepare global coverage report and work with regional teams to provide reports for regional review.
- Work with regional colleagues to maintain media tracking system, tag coverage, research, and updated media tracking platform keywords.
- Create ad hoc coverage reports, roundup coverage emails and content for social team.
Media list
- Manage global media list and contact details, research contacts, add new publications.
- Update media list, clean up, add tags and advertising details, work with regional teams.
- Build specific media lists per topic, industry, regional focus, for events
PR Plan and Content
- Support PR team to create and maintain PR global Calendar.
- Manage approved content spreadsheet; create links for articles and case studies for external use.
- Review transcriptions, tagging transcription, reviewing product names and terminology.
- Support the spokesperson training program, keep track of content and spokespeople list.
Events
- Create press invitations, emails, press advisories.
- Support press recruitment, press attendance, create event media lists work with regional colleagues.
- Manage event related collateral and content for press kit, collect press biographies.
- Compile relevant documentation, post-event follows up, attendance reports, coverage follow up.
- Support PR and regional teams setting up and hosting media interviews, post-interview follow up.
- Mange event sponsorship program, sponsor benefits, recruit sponsors, collect materials.
- Support technical execution and event production for events and virtual events.
- Manage press ambassador program for major events.
- Support the team with event platform usage and other event related tasks.
Media Services Budget
- Submit, track purchase orders, manage invoices, submit to finance for payments, track, ensure accuracy.
- Keep the team budget up to date, support negotiation and day-to-day relationship with external vendors.
What You Bring to The Team:
- Must have excellent Excel and analytical skills.
- Computer skills must include practical experience with MS Office. Database software, SAP skills is a plus.
- A bachelor’s degree in one of the following: marketing, communications, accounting, finance field required.
- Two+ years’ experience in field.
- Ability to work with external stakeholders, vendors ensure the highest quality and on-time delivery.
- Ability to thrive in a fast-paced environment and work well with team members across several different disciplines, teams, and time zones.
- Ability to adapt to new process and projects.
- Strong organizational and project management skills and very detailed oriented.
- Ability to meet tight deadlines.
- Good command of English language (written and verbal).
