Job Title
- Follows up on the implementation of all Accor Meet & Dine procedures and guests requests in line with company’s requirements.
What you will be doing:
- Handling of all enquiries by telephone, fax, email
- Ensure all incoming enquiries (fax, email, phone) received before 5:00 pm are replied on the same day
- Follow up on all enquiries latest 72 hours after sending the offer by phone and again on the official follow up date. If requested, a new and more precise offer is made and sent to the customer. If the customer does not reply, the follow-up is repeated after two weeks
- Five days before the event, the Business Events Manager calls the customer in order to find out whether all the information and agreements are still valid or whether they have to be adjusted.
- Adhere to all Accor Meet & Dine standards
- Sell rates according to availability and yield strategy after approval by the Director of Revenue Management
- Within 72 hours of the end of the event a letter must be sent to the customer thanking them for the trust placed
- Monitor group cut-off dates and review with responsible Sales Manager. Advise all groups whose cut-off date has been exceeded for follow up with account manager concerned before room block is released.
- Input/update rooming lists in relation to the event with special care and attention to detail (VIPs, etc.)
- Prepare daily events list, to be delivered to all concerned departments
- Finalize event and group invoices before the event finishes and the organizers leave the hotel
- Follow up on prepayments
- Provide relevant documents to Credit department to speed up the invoicing process including checked invoices, contracts and covering letters.
- The customer is sent a clear final invoice with a separate accompanying letter 10 days after the end of the event at the latest.
- Handle all banquet documents and correspondence correctly and consistently
- Be able to clearly communicate information to guests or colleagues
- To report for duty punctually wearing the correct uniform and name tag at all times
- Prepares function sheets & event orders for all confirmed events
- Facilitate weekly function sheet meeting for all departments concerned each Tuesday for the coming 10 days
- Coordinates with other departments to ensure that all events in the hotel are well organized & efficiently handled
- Assure Function Area setup as per agreement with guests
- Knowledge of contracted policies with other companies
- To maintain an organized, systematic and updated filing system (hard copies & hard disk back up), in order to ensure easy accessibility to required data and avail loss of data from the hardware

Your experience and skills include:
- Level of study: Bachelor Degree
- Field of study: Hospitality, Marketing, Sales, Management
- Minimum experience of 2 to 3 years in the event sector requested. Operational experience in the hotel industry is a plus
- Languages required: Arabic, English
