Job Summary:

  • The Office Assistant/Admin will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.
  • The Office Assistant/Admin is responsible for developing intra-office communication, streamlining administrative procedures, inventory control, office staff supervision and task delegation.


Responsibilities:

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
  • Meeting rooms management;
  • Driver and ayi management, ensure service are well delivered;
  • Partner with HR/IT to maintain office policies as necessary;
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time;
  • Provide general support to visitors;
  • travel arrangement & booking;
  • Responsible for office services ensuring office operations and procedures are organized, correspondences are controlled;
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems;
  • Ensure confidentiality of data;
  • Monitor and maintain office supplies inventory;
  • Maintain a safe and secure working environment;

Requirements:

  • College or bachelor’s degree in business administration or related etc.
  • Proficiency with Windows operating systems, Microsoft Word, Excel and Outlook a must;
  • Strong verbal and written communication skills;
  • Fluent in English;
  • Pay attention to confidentiality of business data and personal information of employees;
  • Able to multi-task in a thriving environment and work under pressure with superb accuracy;
  • Energetic, professional work ethic, responsible, and reliable;
  • 3-4 years of hands on administrative experience preferred;
