Job Description
Job Summary:
- The Office Assistant will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.
- The Office Assistant is responsible for developing intra-office communication, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Responsibilities:
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands;
- Meeting rooms management;
- Driver and ayi management, ensure service are well delivered;
- Partner with HR/IT to maintain office policies as necessary;
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time;
- Provide general support to visitors;
- travel arrangement & booking;
- Responsible for office services ensuring office operations and procedures are organized, correspondences are controlled;
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems;
- Ensure confidentiality of data;
- Monitor and maintain office supplies inventory;
- Maintain a safe and secure working environment;
Requirements:
- College or bachelor’s degree in business administration or related etc.
- Proficiency with Windows operating systems, Microsoft Word, Excel and Outlook a must;
- Strong verbal and written communication skills;
- Fluent in English;
- Pay attention to confidentiality of business data and personal information of employees;
- Able to multi-task in a thriving environment and work under pressure with superb accuracy;
- Energetic, professional work ethic, responsible, and reliable;
- 2-4 years of hands on administrative experience preferred;
