Groups is a mission-driven medical practice that provides affordable, evidence-based treatment for opiate addiction using two of the most powerful tools for recovery: group therapy and medication-assisted treatment (buprenorphine). At Groups, the Office Coordinator is at the center of a team of professionals who deliver patient care. Because the Office Coordinator is involved in every aspect of the office’s operations, each day presents a different set of tasks and challenges that require diverse skills to solve. By providing structure for colleagues and clients alike, the Office Coordinator allows everyone to do their part in the treatment process, efficiently and respectfully.
Responsibilities
As Office Coordinator, you are responsible for coordinating the client’s experience at Groups from start to finish—and ensuring the experience is efficient, responsive and respectful at every step. To do this, you will bring together physicians, counselors and other colleagues who deliver care as a team.
Specifically, you will:
- Manage patient flow in the office, including check-in, payment, prescriptions, and initiate urine analysis
- Coordinate with physicians on scheduling and patient needs. Maintain client information in EMR
- Provide exceptional customer service, in person and by phone, and help clients troubleshoot issues that affect their treatment
- Oversee day-to-day office operations
Community Presence/Outreach
- Research-oriented and have deep knowledge of the landscape, geography, and demographics of opiate addiction and treatment in his or her local region.
- You will bring new regions to life for Groups, so that we can understand whether a new state market and regions will be a strong fit for our services.
- Review and familiarize yourself with our state / regional research and market data compiled from public and private sources.
- Help identify locations of where a Groups office, clinical model, and services would be successful while helping to identify key drivers that made those locations a key success.
- Build state and regional referral networks on Groups behalf, and connect Groups to key networks, other providers, insurers, and influencers.
- Evaluate and recommend alternative and experimental service models for operating in appropriate markets. Travel within your region as you evaluate local areas and consult with us.
- Establish Groups as a respected, positive presence in the community.
- Keep the organization connected with appropriate circles such as county board meetings, advisory board meetings, etc.
Qualifications
Ideal Criteria
- 2+ years experience as a Medical Assistant, Case Manager, or relevant support experience in mental health/substance abuse
- Bachelor’s degree (completed or in progress)
- Fluency with Excel/spreadsheets and Google Apps (Gmail and Google Docs)
Required Criteria
- 6+ months of relevant healthcare experience
- High school Diploma/GED
- A natural multi-tasker who thrives when juggling multiple balls in the air at once
- A fanatic for detail and organization—nothing gets past you
- Resourceful and able to solve any problem that comes your way
- A people person—you love interacting with all kinds of people and are unfailingly kind and patient
- Tough when you need to be. You can draw and maintain boundaries, and hold people accountable
