OFFICE / FACILITIES COORDINATION: Maintains and coordinates all office management related items for the Washington, D.C. Office to ensure the office functions efficiently, effectively, and within budget. Coordinates the planning and preparation for all office-wide functions, internal, and external meetings, workshops, and forums. Activities include, but are not limited to: Planning and finalizing meeting facilities and room assignments; Securing and coordinating off-site transportation; Assisting presenters with finalizing materials or presentations; Executing meeting room set-up or coordinating with facilities for off-site meetings, including audio and video set-up and catering; Supporting or developing meeting agendas and taking minutes, as needed; and All other tasks, as assigned. Coordinates new employee set-up and completes all-office onboarding for new hires, including IT, HR, and facilities support (access to the building, security coordination, floor/suite, parking, gym). Completes new hire training on DC office administrative policies and procedures, expense tracking, corporate card use, copy/printing use, etc. Facilitates all DC office-wide IT upgrades (general electrical upgrades, server-instillations, office-wide phone upgrades, breaker testing, etc.), including coordinating with vendors, to ensure minimal disruption to daily workflow and office responsibilities. Serves as primary contact and liaison on behalf of AbbVie with D.C. building management and facilities, housekeeping, real estate affiliates, suite and building security team, parking support, building intranet support, and on-site deliveries, including after-hours, as needed. Orders and maintains all office supplies for the Washington, D.C. office, including presentation and meeting materials, facility supplies (kitchen, meeting space supplies), nameplates, heaters/fans, and copy/printer materials, in accordance with office budget. Manages and tracks all DC office-related budget expenditures, coordinating with GA operations and leadership, as appropriate. ADMINISTRATIVE SUPPORT: Provides direct/dedicated administrative support for 5 cross-functional members of the Washington, D.C. office. Provides general support and serves as back-up administrative support for the members of the Washington, D.C. office, along with any AbbVie colleagues using our visitor offices. Organizes and maintains calendar meetings; exercising considerable judgement in handling requests and ensures all parties are kept informed of schedules and changes, as appropriate. Coordinates travel arrangements, completes expense reports and processes invoices; ensures that correct account codes are used. Meets and greets visitors in a professional and courteous manner. Consistently handles confidential or business-sensitive issues and information. Responsible for compliance with applicable corporate and divisional policies and procedures, as well as training new hires and contractors, as needed. Maintains strong understanding of Government Affairs, Legal, and Operations Organizations’ specific policies and procedures to ensure compliance amongst cross-functional team members. Advanced knowledge of/proficient with Microsoft Word, PowerPoint, and Outlook. Excellent written skills with attention to detail, time management and organizational skills. Qualifications QUALIFICATIONS: Minimum 5 years of administrative assistant related experience. High School diploma or equivalent. Experience providing support to a VP level or equivalent. Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, understanding of business processes and requirements. Experience supporting government affairs work and related compliance matters (preferred). Self-starter able to function at a high level with general instruction. Builds strong relationships with peers and cross-functionally with partners outside of assigned group as necessary to enable effective and efficient Legal team operations. Team-oriented, can-do attitude and desire to be productive contributor to overall organization. Learns quickly and can change course quickly when needed. Open to suggestions and innovation for improvement. Professional demeanor and ability to maintain confidentiality.
