RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO主要职责

  • Serve as the point person for office manager duties including:

  • Errands行政事务
  • Shopping采购

  • Schedule meetings and appointments会议安排和预约
  • Organize the office layout and order stationery and equipment办公室规划及办公用品设备的订购
  • Maintain the office condition and arrange necessary repairs办公室办公环境的维护及安排维修
  • Partner with HR to update and maintain office policies as necessary协助HR更新并维护办公室管理制度
  • Organize office operations and procedures规划办公室运营及管理流程
  • Coordinate with IT department on all office equipment协调IT部门完成办公设备的维护
  • Ensure that all items are invoiced and paid on time确保完成所有行政支付和开票项目
  • Manage contract and price negotiations with office vendors, service providers and office lease负责与供应商及办公租约的合同管理、议价事宜
  • Manage office G&A budget, ensure accurate and timely reporting负责综合行政的预算,确保准确准时的行政报告
  • Provide general support to visitors接待访客
  • Assist in the onboarding process for new hires协助新员工完成入职流程
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements) 为员工解决办公室管理的问题(比如办公用品,硬件,差旅安排等)
  • Liaise with facility management vendors, including cleaning, catering and security services联系供应商联系,包括清洁、餐饮以及安全服务供应商
  • Plan in-house or off-site activities, like parties, celebrations and conferences策划组织室内外团队活动,比如派对,庆祝会和大型会议等

EDUCATION/TRAINING教育背景

? Bachelor’s Degree or an equivalent in education and experience in Office Administration, Business or HR本科学历,有行政、商务或者HR工作经历。

WORK EXPERIENCE工作经验

  • Proven experience as an Office manager, Front office manager or Administrative assistant具有办公室行政经理经验
  • Knowledge of office administrator responsibilities, systems and procedures熟悉办公室行政职责、系统及流程
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)精通办公软件
  • Hands on experience with office machines (e.g. fax machines and printers)具有办公室设备使用经验(如传真机打印机的使用)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang熟悉邮箱行程安排工具
  • Excellent time management skills and ability to multi-task and prioritize work出色的时间管理能力,能同时接受不同的工作任务
  • Attention to detail and problem solving skills注重细节及解决问题的技能
  • Excellent written and verbal communication skills出色的书面核口头表达能力

LANGUAGE REQUIREMENTS语言要求

  • Mandarin Chinese – Fluent Native or Native-Like written and oral普通话- 精通书面、口头表达
