Operations Specialist

 

Location: This position will be based out of Exton, PA with a flexible hybrid schedule.

 

Position Summary:

As an Operations Specialist you will be an integral part of the Success Operations team, providing day to day administrative support for the User Success organization while also supporting special programs for the business. For this role, being comfortable communicating with people across teams and departments, being able to solve problems and improvise as needed, and having an eye for detail are key attributes. Responsibilities include:

 

Your Day-to-Day:

  • Support the effective and efficient operations of User Success as a key part of the User Success Operations team.
  • Provide invoicing support to User Success, working with stakeholders to ensure invoicing is executed seamlessly.
  • Manage the coordination and logistics of both internal and external meetings.
  • Support offsite conferences, external events, and onsite Executive Briefings by organizing all aspects including catering and transportation.
  • Provide administrative support for internal employee engagement programs, working with Leadership team to ensure programs are executed flawlessly.
  • Develop and maintain positive working relationships with staff, internal departments, and outside parties, including high-level contacts of a sensitive nature.
  • Handle regular activities without prompting and advise in advance with issues or delays.
  • Other administrative and project duties as requested.

 

What You Bring to The Team:

  • 2+ years in an administrative or operations role.
  • Proficient in Microsoft Office Suite and related business applications such as Microsoft Teams and Microsoft SharePoint.
  • Tact and good judgment in confidential situations, and proven experience interacting with senior management.
  • Strong interpersonal, written, and oral communication skills with experience or confidence to interact with senior management.
  • Ability to work in a fast-paced work environment that requires strong multitasking skills, time management, and self-starter mentality.
  • Strong organizational and analytical abilities; able to anticipate and handle competing priorities
  • Ability to adapt to rapidly changing environment and new processes and responsibilities.
  • A natural curiosity for how things work and a passion for bringing efficiency and order to your environment.
  • Excellent oral and written English communication skills.
  • Requires sitting or standing at will while performing work on a computer. The role requires communication with managers, peers, and other colleagues of the company in person (on occasion), and by utilizing Microsoft Teams chat, calling and meeting functions.
  • This role does not require travel.
