Order processing Officer

As an Import and Export Manager at Rolls Royce Power System, you will be responsible for Order processing for Sales Department

Key Accountabilities:

  • Letter of Credit negotiation. Follow up shipment of engine order and present all documents against L/C requirement. Prepare sales invoices, customs invoices, proforma invoices, packing lists, delivery notes, etc. for the engine orders.
  • Liaison with Finance and Accounting Dept. for the issue of Banker’s guarantee, performance bonds, downpayment guarantee, etc. which are required in the engine orders. Liaison with application engineering team to follow up short-supplies and/or short shipments of engine orders.
  • Prepare monthly engine order turnover figures. Sales contract administration. Archives of departmental files, documentation, data and records. Performing secretarial / stenographic duties i.e. typing, filing correspondence, maintaining data and records, taking message, handling phone calls, mailing and dispatching faxes, etc.
  • To arrange document, drawings & catalogues. Photocopying, typing and preparing documentation to customers. Assisting to prepare quotations / order forms / contract reviews and arrange filing for all documents relating to projects and orders.
  • Assisting distribution of all incoming faxes for Sales & Application Engineering Department. Attending to company in-house guests and ensuring the necessary attention is given. Assisting after-sales coordination for Sales & Application Engineering Department.
  • Back up support in the department. Attend training course to upgrade the knowledge to meet requirements of the job functions and as part of the personal development.

Key Experiences and any Qualifications

  • F.5 or Diploma holder in Business Administration or equivalent
  • Minimum 5 years working experience in sales administration or shipping related duties
  • Good interpersonal and communication skills
  • Fluent in written and oral English, Mandarin and Cantonese
  • Self-initiative and ability to work independently under pressure
