#### Position Description:
We are looking for Management Assistant to support Executive Director (ED)
working part time (20 / 30 hours a week).
Our ED is based in Spain and looking for an experienced person to help him
with managing his daily duties and specific tasks.
What will You be doing?
• Managing aspects of the ED´s diary and ensure that travel, visas and
itineraries are prepared and available.
• Maintaining calendar to optimize daily time management, scheduling of
meetings time zone comprehensive. Prioritize tasks and delegate accordingly
with a sense of urgency.
• Organizing and assistance with internal and external business events and
hospitality. This could include management of external suppliers, catering,
organizing equipment, registration, preparing packs and accommodation
management.
• Controlling expenses by ensuring claims are submitted for authorization and
AMEX accounts are monitored and credited.
• Managing the phone and voicemail, so that only relevant areas have to be
dealt with by the ED. Deal with admin e-mails and handle e-mail account on
request when ED is not available.
• Support on Business reviews and Customer presentations by gathering
information and managing timelines.
• Assist ED’s business team in dedicated region in administrative tasks such
as travel arrangement, team meeting coordination and additional tasks on
demand.
The job reports to ED directly. Key interfaces are both internal at all levels
within Lenovo and external.
#### Position Requirements:
• Minimum 2 years previous experience as a Personal Assistant, ideally in an
international environment
• Experience of working at all levels of seniority within a complex
organization with some different conflicting demands
• PC skills, familiar with MS Office, Outlook, Excel, PowerPoint and Word
• Fluent in English language
• General secretarial qualifications
Base gross monthly salary from minimum 600 EUR and above, depending on
experience + variable part 12% of your annual earnings
