Qualification & Responsibility

General Description

Reporting to the team leader of PhD Admissions and Post-doc Support at Graduate School, the post holder will be responsible for administering admissions of PhD students and Post-doctoral researchers, and providing central administrative support to Post-doctoral researchers during their stay at the post-doc work station. The successful candidate will be a self-motivated individual as well as a team player, has excellent organizational skills with the ability to prioritise and work efficiently under pressure. The nature of the work also requires an individual to have good communication skills, being energetic to deliver a responsive, proactive and professional service to all parties involved.

Main Responsibility and Accountability

1. To administer PhD admissions, including but not limited to

• Responding to enquiries from, and give advice to, applicants and offer holders (by email, phone and face-to-face) in order to ensure that they are fully supported through the admissions process from their first enquiry through to the point of registration.

• Collaborating with XJTLU academic departments and liaising with the University of Liverpool PGR Admission Team for application status and issuing offer, etc.

• Developing and demonstrating expertise in the evaluation of admissions credentials, and coordinate evaluation process with various offices on campus

• Coordinating the advertising, application, evaluation and awarding of Postgraduate Research Scholarship

• Ensuring that university policies and procedures are followed

2. To administer Post-doctoral researchers’ admissions and provide support during their stay at the work station, including but not limited to

• Assisting Post-doctoral researchers’ registration and leaving procedures

• Providing the university administrative and service responsibilities for Post-doctoral researchers, in collaboration with Post-doc mobile stations and multiple offices and departments across the university.

• Monitoring the study path of the post-doctoral researchers including different stages of assessments

• Advising Post-doctoral researchers of Government regulations and funding opportunities, and assisting the declaration of various Post-doctoral scientific research funds in Jiangsu province

• Liaising and cooperating with governing authorities and collaborating mobile stations to identify and/or organise training or other academic and professional activities for Post-doctoral researchers

3. To promote PhD programmes and Post-doctoral fellowship

• Ensuring that all information of PhD/Post-doctor programmes on the website/brochure is accurate and up-to-date

• Participating in university open days and other university-related projects

• Collaborating academic, marketing and recruitment units across the University in programme promotion

4. To build and maintain strong relationships with external and internal stakeholders

5. To recommend and contribute to the continual improvement of work processes within the university

6. To perform other duties as assigned by the line manager

Position Qualification Requirement

Essential:

1. Bachelor’s degree with at least 5 years’ relevant work experience or Master’s degree with at least 2 years’ relevant work experience

2. Strong planning and organization skills

3. Excellent communication skills and customer focused

4. Good knowledge of the higher education system in China and internationally, and good understanding of prospectus students’ needs

5. Excellent language skills in Chinese/English

6. Ability to work under pressure around key deadlines and be prepared to work overtime when required

7. Possess excellent IT skills and confident in information system usage

Desirable:

1. Experience of working in Higher Education sector and/or international organizations

2. Experience of delivering services

3. Knowledge of Post-doctoral programmes in Chinese context
