Join Philips Real Estate, which is transforming its organization from a regional focused matrix organization towards an organization that better supports the new Philips Business Structure (PBS). Taking the next steps in outsourcing of non-core facility services and related management is part of the strategy. The current global Integrated Facility Management program that has gone live in 2018 is a stable foundation that needs to be managed and optimized. Operational improvements have to be made in the area of space & occupancy management, asset management, energy management and facility service solutions for small (remote) locations. This new role will play an important part in ensuring uniformity and consistency of workplace related services throughout the global Real Estate community. Philips Real Estate wants to take the next step in delivering optimal workplaces for the Philips workforce globally whilst keeping its focus on its financial and operational performance.
You are responsible for
The Global Contract Manager Facility Management carries out a diverse set of activities ensuring smooth execution of the global integrated facilities management agreement with 2 preferred global service providers and working diligently on improvements in the facility management domain such as space & occupancy management and asset management:
FM contract management: Day-to-day contract with Philips Real Estate FM demand managers (±20) and their counterparts from the IFM service providers on contractual questions and (reporting) issues. Actively participate in the bi-weekly internal Philips global program management call and global/regional progress calls and quarterly business reviews with the IFM service providers. Follow up actions originating from these meetings.
Financial management: Act as senior user and expert related to the financial reporting tool (QlikView). Ensure timely financial reporting by the IFM service providers. Keep track of agreed financial parameters per location. Signal abnormalities and deviations in the financial reports and discuss them with the responsible FM demand manager and the service providers. Take the lead in the financial budgeting process and year-end-closure activities. Train colleagues and vendors on the financial principles of the IFM agreement and act as ‘guardian’ of the uniform execution of these financial principles.
Performance management: Act as senior user and expert related to the performance reporting tool (SharePoint tool). Ensure timely performance reporting by the IFM service providers. Signal abnormalities and deviations in the performance reports and discuss them with the responsible FM demand manager and the service providers. Organize the yearly end-user satisfaction survey. Work closely together with the PRE data intelligence team on maintaining and improving performance management dashboards.
Space & occupancy management: Develop practical space & occupancy standards that form the basis of the occupancy measurements of the key Philips buildings around the world. Look for out-of-the box ‘smart building’ solutions that can help Philips gain fast and cheap insight in its building use. Be a key player in deploying these space & occupancy standards in the broad Philips Real Estate community. Work closely together with the PRE data intelligence team on occupancy measurement visualization and reporting.
Asset management: Team up with the Real Estate Maintenance Managers at manufacturing + R&D sites to accelerate the implementation of the Asset Management quality management system according ISO 55.001 and related tooling (Planon Asset Management module or other tools). Pursue alternative asset management solutions through preferred service providers for other locations. Guide the implementation and upkeep of the asset management tools and quality system.
Energy management: Support the initiative of ISO 50.001 energy management quality system implementation. Pursue smart metering and energy monitoring management solutions through preferred service providers or other easy to use modern tooling. Work together with Group Sustainability, EH&S, Procurement and other functions to help reach Philips sustainability goals.
Other areas of attention: Help develop new facility service solutions for small (remote) locations. Work together with Group Security to improve the security standards of Philips.
Training: Train the Real Estate / FM demand management community and key employees of the preferred suppliers in the FM framework and supporting tools.
Support standardization and operational excellence: participate actively in process standardization and simplification initiatives such as the deployment of the Philips Excellence Process Framework (PEPF) and ISO quality systems such as ISO 50.001 energy management + ISO 55.001 asset management. Work on improvements within PRE using LEAN methods.
Communication & Engagement: Promote the global FM approach towards the broad Philips Real Estate community.

To succeed in this role, you should have the following skills and experience
At least 5 years of business experience, managing complex service agreements in cross-functional organizations and/or environments
Bachelor’s degree required with a minimum of 3 years in comparable roles
Facility management and/or technical maintenance management experience is an advantage Lean trained
Focus on customers and a ‘service mindset’
Strong financial acumen and analytical skills

Understanding of integrated facility management and how to drive positive business impact through the services
