The Opportunity:

As the Project Administrator you will be responsible for supporting the wider PMO (Portfolio Management Office) team manage, administer, and track AIA’s portfolio of projects. This is a 6-month fixed term contract.

You will have strong interpersonal skills, including negotiation and co-operating with peers as well as having excellent organisational skills with proven ability achievement to deadlines.

We are looking for someone who can hit the ground running and enjoys working with MS Excel.

About the role:

  • Support of PMO leadership team including organising meetings/workshops and maintain agenda and capture outputs as required.
  • Maintenance of the portfolio governance calendar.
  • Support the administration of PMO contingent workforce.
  • Support in the management of the project pipeline.
  • Support the project governance process.
  • Support in the tracking of the dependencies and portfolio delivery plan.
  • Support in the tracking and reporting of risks and issues across the portfolio.
  • Support the production various Project/programme/portfolio reports, ensuring reports are submitted on time and of high quality.
  • Support the portfolio financial reporting.
  • Ensure projects are support with access to the right tools, templates, on-boarding and process guidelines.
  • Support the PMO office maintain adherence and compliance to the project management frameworks, standards and governance models, ensuring projects and programmes are informed, guided and supported accordingly.
  • Performs other responsibilities and duties periodically assigned in order to meet reasonable operational and/or other requirements.

About you:

  • Intermediate to advanced MS Teams, PowerPoint, Word and Excel skills.
  • SharePoint skills and a competent user of MS Project, MS Visio (advantage).
  • Excellent written and verbal communication skills.
  • Extensive administration and co-ordination experience, with proven attention to detail and accuracy in execution.
  • Previous experience within a project or programme environment with a solid understanding of projects/programmes to completion, through the entire lifecycle.
  • Experience working with scheduled reports and following them through to completion without missing any key details or dates.
  • Experience with programme governance approaches and associated reporting requirements (advantage).
  • Experience with managing project related financials (supporting updates to forecasts / budgets, programme related invoicing, accruals etc).
  • Financial services industry knowledge not essential but desirable.
  • Strong reporting skills.
  • High level of attention to detail.
  • Organised and the ability to work to tight deadlines.
