
Responsible for: Procurement of all goods and services required for the hotel
OBJECTIVE:
Every Sofitel team member is an Ambassador. An Ambassador represents Sofitel’s brand and its values, at all times. The Sofitel Ambassador will establish relationships and foremost, the Sofitel Ambassador will deliver an exceptional guest experience and promote French excellence.
MAIN DUTIES:
Operational
- To provide a courteous, professional, efficient and flexible service at all times, following Sofitel Mumbai BKC Standards of Performance.
- To perform all duties and tasks in the assigned Place of Work to the standard set.
- To be entirely flexible and adapt to rotate within the different sections of the Procurement Department as mentioned below.
- To be fully conversant with all services and facilities offered by the hotel.
- To perform opening and closing procedures established for the Place of Work as assigned.
- To ensure that the work place & surrounding area is kept clean & organized at all times.
Purchasing
- To source the required material at the right price/source/ as per specifications and at the earliest time.
- To organize for the quotations & other documents for the initiation of the purchasing process.
- To make the comparatives with a minimum of three parallel quotations for all the purchases for the hotel.
- To make the Purchase orders on the basis of the approved quotations and follow up with the vendor for the delivery of the material.
- To coordinate with the corporate office for the central purchase decisions.
- To adhere to the standards set by the corporate office.
- To maintain the Product Specifications for all the items to be purchased and maintain the data for the same in the computer.
- To conduct market surveys and supplier premises inspection visit as and when required and submit the reports.
- To provide required good and services to the operations department.
- To uphold the purchasing ethics when deciding upon the vendor.
General
- To understand and strictly adhere to the Rules & Regulations established by the Hotel and also to the Hotel’s policy on Fire, Hygiene, Health and Safety.
- To report for duty punctually wearing the correct uniform and name tag at all times.
- To maintain a high standard of personal appearance and hygiene at all times.
- To maintain a good rapport and working relationship with staff in the other departments.
- To attend and contribute to all staff meetings, Departmental / Hotel trainings scheduled and other related activities.
- To undertake any reasonable tasks and secondary duties as assigned by the Director of Procurement.
- To respond to any changes in the procurement function as dictated by the corporate office.
- To handle vendor and ambassador inquiries in a courteous and efficient manner and report complaints or problems to supervisors if no immediate solution can be found and assure follow up with the respective persons.
- To coordinate with concerned facility management companies for any support function.
- To project at all times a positive and motivated attitude and exercise self control.
- To assist in the building of an efficient team of ambassadors through Multi Skilling, Multi Tasking and flexible scheduling and by taking an active interest in their welfare, safety and development.
- Training and Human Resources
- Ensure wherever possible that employees are provided with a work place free of discrimination, harassment and victimisation.
- Treat complaints of harassment and discrimination promptly and confidentially.
- Treat customers and colleagues from all cultural groups with respect and sensitivity.
- Identify and deal with issues which may cause cross cultural conflict or misunderstanding.

Miscellaneous
- All ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances.
- All ambassadors may be assigned to other duties in the hotel as and when required by business levels

GENERAL DUTIES:
Health and Safety
- Ensure that all potential and real Hazards are reported immediately and rectified
- Be fully conversant with all departmental Fire, Emergency and Bomb procedures
- Ensure that all emergency procedures are rehearsed, implemented and enforced to provide for the security and safety of guests and employees
- Ensure the safety of the persons and the property of all within the premises by fairly applying Hotel Regulations by strict adherence to existing laws, statutes etc.
- Ensure all staff within the department work in a manner which is safe and unlikely to give risk of harm or injury to selves or others
- Use safe manual handling techniques and practise safe work habits following Accor Health, Safety and Environment policies, maintain procedures to minimise our impact on the environment and prevent pollution.

Confidentiality
- Ensure confidentiality and secure storage of all intellectual property and data bases, both hard copy and electronic. Adhere to Accor Internet and Email policy
- Ensure Hotel, Customer and Staff information or transactions are kept confidential during or after employment with the company.
