In addition to the needed support as Personal Assistant , the individual will support  head of Commercial Procurement – APAC & Japan and AP Procurement management team  to lead and follow up on the regional Procurement internal control related projects and key initiatives. 

Typical Accountabilities

As PA to Head of Commercial Procurement – APAC & Japan ( 40% of time):

• Responds on behalf of the head of Commercial procurement to different stakeholders maintaining high professional standards whilst meeting conflicting needs
• Responds to more complex or escalated enquiries from other PA/secretarial staff
• Accesses the email accounts of head of Commercial procurement supported to schedule their appointments and answer or redirect routine enquiries from internal or external sources
• Accurately transcribes, types, formats, and proof reads a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.   May complete in own language and English.
• Uses desk top publishing software to design more complex documents to support the work of the department they support
• Provides specialist project based administrative support when required
• Coordinates internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available
• Performs other administrative tasks using independent judgement and discretion
• Prepares documents, presentation materials and official information releases and distributes to required stakeholders
• Coaches and mentors less experienced secretarial help desk staff to help them resolve problems
• Plans, organises, and schedules own workload through system maintenance so that all activities are completed accurately and on time

As Regional Procurement Internal Control Analyst ( 60% of time):

• Identifies opportunities to improve processes and provides practical solutions for function, allowing it to operate more efficiently while reducing business continuity risks
• Develops process for continuous business improvements, planning, prioritising, implementing and tracking the delivery of various elements of business improvement projects
• Determines critical areas requiring intervention and support to ensure business continuity and generate business improvement within specific functions, and supports programs for implementing solutions in these areas
• Acts as a technical owner within Business Improvement with a deep understanding of processes and internal regulations
• Supports the integration of business improvement through regular communication with cross-functional teams
• Ensures that Business Improvement team assembles key reports for analysis that identifies major opportunities for improvements and threats to business continuity
• Ensures current and future business processes are aligned to the business strategy and undertakes business improvement initiatives where this is not the case
• Keeps own knowledge of best practices and new relevant developments up to date
