Job Description

Job Purpose
To perform a range of administrative and coordination functions to support the Transformation
Project Management team on delivering a new Finance and HR platform. The Project Assistant plays a critical part in the Transformation Programme and contributes to achieving project goals. 

This position is responsible for facilitating efficient project execution, maintaining project documentation, and ensuring effective communication within the organization. The Project Assistant assists in coordinating project activities, enforcing project management methodologies and standards, and contributing to the overall success of projects. This role requires excellent organisational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities
* Administrative Support: Provide comprehensive administrative assistance to the Programme team
* Project Documentation: Maintain accurate and up-to-date project documentation, including project plans, status reports, meeting minutes, and other project-related records. Ensure proper version control, storage, and retrieval of project documentation.
* Project Coordination: Collaborate with project managers to assist in coordinating project activities, ensuring adherence to project timelines and deliverables. Update project schedules, track project progress, and assist in resource management.
* Reporting and Metrics: Support the Programme team in collecting, analysing, and reporting project-related data and metrics. Assist in the preparation of project status reports, dashboards, and presentations for various stakeholders.
* Process Adherence: Enforce project management standards, methodologies, and processes within the Programme. Identify areas for process improvement and contribute to the development and implementation of best practices.
* Communication and Collaboration: Facilitate effective communication among Programme stakeholders, team members, and other departments. Coordinate meetings, distribute agendas, and compile meeting minutes. Act as a central point of contact for project-related inquiries.
* Tools and Systems: Assist in managing project management tools and systems, ensuring their proper functioning and usability. Provide support and training to project team members in utilising these tools effectively.
* Quality Assurance: Monitor project management activities to ensure compliance with established standards and processes. Support quality assurance efforts by identifying and addressing any gaps or areas for improvement.

Skills & Experience
* Proven experience of working in a project management environment 
* Administration/ Coordination exposure (preferably in project management)   
* Excellent organizational and leadership skills, able to deal with a fast-paced environment, and exceptional attention to detail
* Excellent knowledge of MS Office including Microsoft Project
* Outstanding communication and interpersonal abilities, with excellent command of written and spoken English is essential
* Ability to interact with both internal and external senior level individuals
* Ability to work to tight deadlines and adaptable to working in a fast paced ever changing environment
* Ability to work on their own initiative, solving problems as necessary
* High level of integrity and confidentiality
* Collaborative mindset with the ability to work effectively in cross-functional teams 
* Excellent organisational and time-management skills with a high attention to detail
