KEY RESPONSIBILITIES:

The Project Coordinator manages a portfolio of small scope/size/risk projects with an overall revenue of $100,000 to $250,000 per year but may be higher depending on the individual’s competencies.  And/or, the Project Coordinator may work under a project manager to help with administrative tasks on a specific project.  Overall project coordination duties include project creation, resource management, communication, project monitoring, time and expense approvals, and invoice requests.  The Project Coordinator interacts with external users and all internal DCW groups including sales, marketing and the labs.

 

DUTIES AND RESPONSIBILITIES:

  • Manages assigned projects start to finish using DCW’s project management tools and processes – Projector and other tools such as Microsoft Project, Teams, and SharePoint.
  • Define the resources needed to effectively execute the project.
  • Ensure proper and regular use and maintenance of the Enterprise Project Management & Professional Services Automation tools and data.
  • Agree project success and acceptance criteria with all involved parties.
  • Manage stakeholders through effectively communicating project plans, progress, expectations, risks, assumptions and dependencies in a timely and clear fashion throughout the project.
  • Manage risks, assumptions, dependencies and constraints.
  • Ensure that revenue forecasts are updated weekly for all active projects for a rolling 3‐month period minimum.
  • Review, manage and approve timesheets, travel requests, and expense reports for project team members. This includes the timely submittal of travel requests, time entries and expense reports for project managers.
  • Provide accurate support for all invoicing, checking the invoices are correct before sending to the user; support efforts for accurate revenue recognition (accruals/release from deferral).
  • Capture lessons learned at project close
  • Escalate issues when necessary
  • Acquires and manages resources for the deliverables on the project, interfacing with resource managers to ensure timely delivery of resources to support the project plan
  • Support a Project Manager or Director when necessary for other projects

 

EDUCATION REQUIREMENTS:     

  • Advanced degree in a technical field, or relevant industry experience
  • Be able to show some amount of education in Project Management through coursework, training classes, and mentoring
  • Working toward achieving PMP certification or similar

 

QUALIFICATIONS:

  • Excellent interpersonal and communication skills required.
  • Relationship Management: Able to develop rapport with others and recognize their concerns and feelings; build and maintain long-term associations based on trust; help others.
  • Ability to be a strong team player and communicate effectively among a diverse work team in multiple locations. Confident in dealing with technical experts, sales colleagues, engineers, senior management and working in the Technology field.
  • Communication: Able to clearly present information through the spoken or written word; read and interpret complex information; talk with customers or clients; listens well.
  • Planning, Prioritizing, and Goal Setting: Manage multiple projects; determine project urgency in a meaningful and practical way.
  • Virtual (home office) or DCW Office based in the USA – preferably Pennsylvania 

 

 TRAVEL REQUIREMENTS:

  • Travel will be required for the project meetings, reviews, etc. The amount of travel expected is between 0%-20% per month.  International travel is possible
