Job Description

The Project Coordinator is responsible for the successful creative delivery and project management of tasks and projects by effectively coordinating timelines, reviews, budget and the successful execution of day-to-day activities across multiple projects and tasks. The Project Coordinator is responsible for supporting the Project Management team on transforming creative requests into projects and deliverables across all marketing channels.

This role works collaboratively with other creative functions within the centrally-managed team—all based in Pittsburgh. Functions include Design, Copywriting, Production, Content, Development and Operations. The Project Coordinator is a point of contact for the Studio creative team, managing a variety of projects and tasks, and delivers on budget, on schedule and with superior customer service and high quality while meeting requirements.

As a Project Coordinator within the Studio, you must be a good communicator, an enthusiastic and proactive problem solver who works well in a team-oriented, collaborative environment and someone who thrives on being engaged at every level of the project, possessing a sense of responsibility and accountability to see a project through from start to finish.

Project Coordination

  • Work directly with a cross-functional team to understand the business’ project requests and objectives, deliverables and delivery dates, and develop clear project schedules as needed
  • In partnership with Project Manager(s), provide support on project work requests from the business with the creative team, and answer any internal team questions
  • Build, maintain and support project schedules and estimates
  • Route projects for business review and approval
  • Communicate and share final assets and web site launches
  • Provide daily production checks to ensure project schedules and operational data are accurate for financial and reporting needs
  • Remove day-to-day barriers for efficient execution on an ongoing basis, and communicate effectively in difficult and time sensitive situations
  • Provide support to PM counterparts during capacity and resource fluctuations
  • Attend assigned project meetings, and ensure the creative team receives clear direction for next steps
  • Execute on Studio project management processes and tools (estimating, time tracking, project timeline applications, etc.)
  • At times of high volume, deliver multiple, often concurrent projects: error free, on time or early, on or under budget, all while meeting or exceeding creative objectives and expectations

Relationship Management

  • Proven ability to maintain positive team environments
  • Day-to-day point-of-contact for project-related tasks, and working with Project managers to proactively understand business expectations on an ongoing basis throughout a project
  • Build working relationships with both Studio team members, establishing a role as a trusted colleague

  • Bachelor’s degree in business, marketing, communications, advertising or related field, or equivalent years experience
  • A minimum of 1-2 years of experience in a fast-paced agency environment, or similar environment
  • Experience with omni-channel environment: print, digital, presentation, video, etc.
  • Attention to detail is a must
  • Effective problem solving skills
  • Ability to work with a sense of urgency and meet deadlines in a fast-paced creative environment
