In this role, the Project Coordinator will be in charge of assisting with the creation of project workplans and budgets for companion diagnostic development and commercialization projects (CDx). Your primary role in this position will be internally facing to the Agilent CDx core project team. In this position, you will be working in a cross-functional team environment to gather input to develop project workplans and budgets. You will be an important team member to help ensure that Agilent excels in companion diagnostic product development.

 

The successful person for this job will be organized, detail-oriented, and flexible; have excellent communication skills, be competent in Microsoft Office applications such as Word, Excel, and PowerPoint and be able to work with tight deadlines. Experience in Microsoft Project is preferred.
 
The Project Coordinator will report to the Director of Program Management and will not have any direct reports.
 
Job Responsibilities:
  • Work closely with project teams to coordinate efforts around project scoping, including:
    • Assembling a scope team
    • Scheduling meetings
    • Summarizing information from team members and customers
    • Entering critical information into existing templates
    • Updating and revising work plans using Excel, PowerPoint and Clarizen
    • Develop and improve templates and tools used by multiple departments to build and refine project plans
  • Follow up with resources to ensure proposal deadlines are met
  • Coordinates and attends stakeholder meetings (internal and external) as needed
  • Prepares and distributes meeting agendas and minutes for internal and external meetings
  • Collects and/or prepares presentation materials for meetings as required
  • Documents and follows up on actions and decisions from meetings
  • Provides administrative support as needed
  • Ensures projects adhere to PMO processes and all documentation is maintained appropriately for each project.
  • Organizes and maintains project information in the project SharePoint site
  • Establishes trust and works with integrity while motivating others to achieve the goals of the project
  • The Project Coordinator may also assist Project Managers on active projects with:
    • Keeping project plans updated on a daily basis
    • Tracking planned versus actual work hours on a daily and or weekly basis
    • Tracking project expenses versus budget on a monthly basis
    • Order materials/supplies/equipment as needed
    • Obtain partner approvals for customer billing requests for completed milestones
    • Coordinate with third party vendors as required to complete the project activities
    • Organize assay production requests for delivery of assays for clinical trials or internal development and pre-commercial activities
    • Establish and maintain project lifecycle documentation
    • Update project RAID logs on an as needed basis and follows-up to completion
    • Identify project changes and supports creation of change request drafts as required
