Job Description

OVERVIEW:

An individual contributor whose primary responsibilities include: tracking and maintaining project schedules, conducting metric and trend analysis, and identifying opportunities for process efficiencies for China store projects. This position requires an understanding of the end to end processes involved in Real Estate, Design, Construction and Maintenance. Must be able to identify inter-related strategic issues from deal approval to store opening and intercede/react as needed to keep business partners informed and store construction on schedule.

RESPONSIBILITIES:


  • Support the prioritization and completion of maintenance activities by managing information, promoting effective communication and information sharing, and administratively supporting the contract and submission processes.

  • Manage store schedules and support survey, contract, submission, permit and registration processes so as not to delay/negatively impact scheduled store openings.

  • Provide subject matter expertise for the SD&C technology systems (FM Pilot, Business Intelligence and Accruent).

  • Ensure accurate system (Accruent and FM Pilot) updates are completed in a timely manner.

  • Facilitate weekly maintenance tracking meetings.

  • Maintain project documentation and facilitate project specific modifications to templates with Project Managers.

  • Provide regular data analysis on maintenance activities and complete ad hoc reporting as needed.

  • Compile delegation of approval memos for contracts and projects that require capital spend. Route them through appropriate approval chains and upload/maintain the final document in Accruent.

  • Support invoicing and accounts payable processes.

  • Partner with Leasing Analysts and Maintenance Coordinators to ensure timely and accurate information is received.

  • Advocate for change, where appropriate, with colleagues and partners.

  • Provide effective, timely solutions to issues.

  • Collaborate with key internal and external partners including, but not limited to: domestic Project Delivery team, Maintenance and Project Managers, Store Designers, Sourcing, Finance, Real Estate, Brand Operations, consultants, vendors and general contractors.

  • Support Real Estate and Non-Lease store projects as needed.

    QUALIFICATIONS:

  • 1-3 years of experience in project coordination and/or assistant project management in a luxury retail, hospitality and/or other highly branded environments.

  • Experience in both company owned and franchise models is preferred.

  • Possesses understanding of construction, maintenance, mechanical and building processes.

  • Able to effectively analyze information and strategize processes.

  • Thrives in a fast paced, ever changing environment.

  • Fosters collaborative, trusting and long-lasting relationships with business partners.

  • Possesses high sense of urgency with demonstrated ability to work independently, handle multiple projects simultaneously and make effective decisions in a timely manner.

  • Detail oriented and organized.

  • Exceptional verbal and written communication skills.

  • Familiar with and able to work in Accruent and FM Pilot.

  • Proficient in Microsoft Office Suite— including Microsoft Project, Outlook, PowerPoint, Excel and Access.

  • Fluent in English language; knowledge of/ability to speak other foreign languages is a plus.

    EDUCATION: Bachelor's degree (or equivalent work experience) in one of the following: architecture, business, engineering, construction project management.
