Job Description

You will be responsible for:

  • assisting the Authority’s Workplace Management team to manage the corporate facilities management;
  • assisting Facilities Manager to do facilities planning and oversee general facilities issues (including mailing services, cleaning, drivers/ shuttle bus management, pantry service, vendor/ contract management, office health & safety matters) for the Authority;
  • supporting the procurement of general office supplies and services;
  • supervising the management of the outsourced service provider as to ensure effective document despatch and office setup services;
  • implementing and reviewing regularly for the facilities policies and procedure;
  • preparing annual budget plan and monitoring all administration related expenses;
  • liaising with various departments for requirements on facilities improvement, preventive and corrective maintenance, and identify cost-effective solutions;
  • ensuring the service continuity and stability of the telephone system, AV and Conference System, as well as the access control and security systems to support operational needs of the organization;
  • preparing management reports, meeting agenda/ minutes, presentation materials and reports;
  • reviewing and maintaining service reports and agreements and manage outsourced contractors and vendors;
  • handling and monitoring the finance the team’s financial process; and
  • performing ad-hoc duties as assigned.

You should:

  • possess a recognised university degree in Interior Design, Building Studies, Project Management, Construction Management or Engineering or related disciplines;
  • have at least 10 years of relevant work experience in sizeable organisations and hands-on experience in project management;
  • have professional qualification in institutes such as HKIE, HKIA, etc;
  • have the ability to read and understand floor plans and construction drawings;
  • be proficient in PC knowledge including AutoCAD, MS Applications;
  • have knowledge of local regulations, occupational safety and health standard;
  • preferably to have strong site technical problem-solving skills or strong in Documentation and Submission;
  • be proficient in design and communication materials; and
  • be proficient in written and spoken English and Chinese.
