About the Role:
Under the general supervision of the LV Project Coordination Supervisor or Manager, the Project Placement Coordinator Team Lead is a key member of the LV Project Coordination team serving as first-level escalation point to team members and completing complex internal project tasks. The role ensures that client project requests are placed with, processed by, and received back from translators in a timely, accurate, and cost-effective manner to enable on-time delivery to client. The Project Placement Coordinator Team Lead will actively participate in meetings to discuss open and emerging business issues, make recommendations for improvements, and complete special projects as assigned. Provides mentoring and guidance to others.

The Project Placement Coordinator Team Lead has team management responsibilities including monitoring and assigning jobs, effectively coordinating team projects or department work groups, and mentoring staff. The role assists the Manager and/or Supervisor of the LV Project Coordination Department in administering the department’s functions and operations including ensuring all client projects are completed in an efficient, accurate, and timely manner, and within budget.


Responsibilities

  • Understands and adheres to company Quality Management System (QMS) requirements including but not limited to ISO 9001 and ISO 17100 standards. 
  • Assists the Supervisor and/or Manager of the LV Project Coordination Department in administering the department’s functions and operations including ensuring all client projects are completed in an efficient, accurate, and timely manner.
  • Assists in scheduling and assigning work within the department, setting work methods and performance standards.  Modifies work assignments according to complexity and staff availability as necessary to meet the department’s objectives. 
  • Assists in evaluation of department members in a timely and professional manner for the purpose of ensuring their department and individual performance objectives are met.
  • Handles questions from Project Placement Coordinators for the purpose of resolving issues and implementing corrective measures as necessary to ensure proper workflow and client satisfaction, escalating as necessary to the department Supervisor and/or Manager.
  • Utilizes problem solving abilities to uncover problems within systems and to identify and suggest areas for improvements.  Analyzes trends, develops and implements creative solutions, and completes projects as needed to ensure efficient operations and processes.
  • Places standard and rush client projects, including complex multilingual projects, with appropriate qualified translators (i.e., assign) based upon availability, language, expertise, deadlines, and other relevant considerations to ensure work is completed and returned in a timely manner to permit due dates to be met.
  • Ensures that translators have proper instructions regarding what and how project must be completed (e.g., translations, cognitive debriefing, edits, proofreading).
  • Schedules debriefing projects, including projects involving patient recruiting and in-person interviewing, with appropriate qualified recruiters and interviewers. Provides necessary support to recruiters and interviewers throughout production process.
  • Provides budgets to recruiters and interviewers according to size, complexity, schedule, and location of projects. 
  • Coordinates with Project Planners to gather needed information, confirm word and page counts, etc. for open projects or quotes
  • Records new projects on the appropriate database and project spreadsheets and keeps database and spreadsheets up to date regarding the progress of translations.
  • Maintains up-to-date job-related project records as needed (e.g. spreadsheets, folders, databases). 
  • Coordinates the assigning and completion of multiple client projects among pool of translators and debriefers for specific language.
  • Creates purchase orders for use by translators and debriefers.
  • Transfers project files within company electronic filing system to move them and facilitate processing.
  • Coordinates with translators to resolve any translation issues.
  • Incorporates translators new to RWS into active and ongoing translation work of sufficient variety and complexity and monitors the work of translators for the purpose of ensuring that all translators achieve and maintain a high level of proficiency and accuracy.
  • Understands translator feedback system and utilizes it as needed.
  • Coordinates with the Finance Department when needed to handle translator billing issues.
  • Recruits linguists as necessary to meet current and anticipated project specifications.
  • Provides training to new linguists as needed; conducts follow-up to ensure training was successful.
  • Develops procedures as needed to accommodate new types of client requests; trains staff members on new procedures.
  • Provides support, mentoring and training for department staff.
  • Composes or generates a variety of materials (e.g. daily reports, memos) for the purpose of documenting activities, training, initiating re-work process, providing written reference and/or conveying information regarding the status of projects, etc.
  • Assists in maintaining and ensuring the reliability of key operating data and databases.
  • Recommends policies, procedures and/or actions for the purpose of improving efficiency and product quality, and for providing direction for meeting the company's project management objectives.
  • Completes special projects as assigned.

Additional Duties

  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the LV Department or other company goals and objectives

  • Uses standard office equipment such as personal computer, scanner, copier, and telephone/headset.

Work Schedules

  • Full Time Position: Twelve months per year, standard work scheduled, as needed to successfully meet individual and department goals and objectives, and meet employee and client needs, including a reasonable amount of additional hours as needed.  


Requirements:

Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:

  • Four-year college degree or equivalent in Business, English, Foreign Language, Social or Applied Science, or other related field.
  • Minimum two to four years related translation or localization experience required. Experience in Linguistic Validation preferred.
  • Successful leadership or mentoring experience. Prior supervisory experience preferred.
  • Multi-language reading comprehension and written proficiency preferred.
  • Ability to provide leadership for employees and clear direction, goals and objectives in a respectful manner.
  • Ability to communicate and lead others through changes in procedures, client requirements and other operational issues.
  • Ability to make decision and lead employees through problems on job-related issues.
  • Strong organizational skills in a fast-paced, deadline-driven environment.
  • Ability to prioritize and coordinate competing work demands and maintain composure under pressure.
  • Fluent communication skills of written and verbal English.
  • Ability to report work orally and in writing as required.

  • Ability to understand, apply and use personal computers and software applications (e.g., Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, CAT tools, Office 365/Skype, CRM/Aurora/other production software).
